THE ROLE:

We are seeking a dynamic and proactive Department Administrative Assistant and onsite lead to join the AMD Data Center GPU & Accelerated Processing organization.  Your duties will include, but is not limited to, project coordination, calendar and meeting management, travel, goods & services purchasing, report preparation, and expense reporting. As a pivotal member of our administrative team, you will thrive in a fast-paced, collaborative environment, partnering with executive assistants and chiefs of staffs to support a wide range of management levels, customers, and employees.

THE PERSON:
The ideal candidate will possess exceptional organizational and multitasking skills, serving as a reliable backup to our Executive Assistants in confidently navigating a complex C-Suite environment. Your dedication to continuous improvement and proactive approach will be instrumental as you anticipate departmental needs and prioritize time, requests, schedules, and information.

KEY RESPONSIBILITIES:

  • Provide comprehensive onsite administrative support for the Data Center GPU & Accelerated Processing team in Santa Clara, accommodating onsite, hybrid, and traveling employees.
  • Interface with executive management, customers, and visitors, redirecting inquiries and issues as needed.
  • Manage departmental financial processes, including budgets, contracts, purchase orders, payments, and vendor relations
  • Facilitate expense reporting and ensure timely submission for assigned executives.
  • Oversee inventory and procurement of departmental supplies and coordinate equipment or facility maintenance.
  • Handle IT new hire onboarding and support various departmental needs, including awards, onsite catering, and IT resources.
  • Serve as a backup for Executive Assistants, especially in executive calendaring and coordination of internal offsite meetings, customer events, and travel arrangements.
  • Understand business operations and use this expertise to help improve operations and overall efficiency of the organization
  • Exercise judgment and initiative, demonstrating flexibility and responsiveness in all tasks.

PREFERRED EXPERIENCE: 

  • Bachelor's Degree or equivalent level of experience
  • Proven track record of supporting large teams, including executive-level leaders.
  • Experience in departmental or executive administrative support.
  • Proficiency in a range of office automation tools and software, including PowerPoint, Excel, Word, SharePoint, and SAP.
  • Ability to collaborate effectively with diverse stakeholders and manage multiple tasks simultaneously
  • Excellent customer service and composure under pressure 
  • Strong organizational skills, detail-oriented, ability to multitask and prioritize multiple projects in a timely manner
  • Effective written and verbal communication skills with co-workers, clients and customers at all levels 
  • Demonstrated ability to partner well with others and build strong, effective relationships
  • Demonstrated ability to exercise judgment and initiative, with a high degree of flexibility and responsiveness.

ACADEMIC CREDENTIALS: 

  • Bachelor's Degree or equivalent level of experience
