Applied Industrial Technologies is an extensive network of industrial distribution facilities located throughout Canada. We are currently seeking and have an immediate opening for a qualified and motivated individual to fill the position of Supply Chain Administration Assistant out of one of the following Distribution Centres:

  • Nisku DC – 606 19 Ave, Nisku, AB

  • Saskatoon DC - 3630 Thatcher Ave, Saskatoon, SK

  • Quebec DC - 6600 Boul Pierre-Bertrand, Quebec, QC

The position:

Applied Industrial Technologies operates an extensive network of Distribution Centre facilities across Canada. We are currently seeking a Supply Chain Administration Assistant to support our Distribution Centres (DCs) by managing vendor-related issues, supplier non-conformance (SNN), and carrier short shipment/damage DC'S claims. This role is essential in ensuring operational efficiency and maintaining high service levels within our supply chain.

The successful candidate will be responsible for:

Vendor & Supplier Issue Resolution:

  • Handle DC vendor error investigations and communicate findings to suppliers.

  • Support Supplier Non-Conformance (SNN) processes by tracking, documenting, and reporting supplier performance issues.

  • Work with suppliers to address non-conforming products and assist in corrective action processes.

Carrier Claims Management:

  • Process and track Short Shipment & Damage claims for Distribution Centres (DCs).

  • Coordinate with carriers to resolve shipment discrepancies and escalate as necessary.

  • Maintain records of claims and report trends for continuous improvement.

Data Entry & Reporting:

  • Enter and maintain accurate records in SAP, including invoices, purchase orders, and shipping discrepancies from DC's supported vendor.

  • Generate reports for vendor performance analysis, claims tracking, and inventory adjustments.

  • Assist in data consistency checks and support standard reporting processes related to SAP.

Administrative Support:

  • Provide clerical support for the Procurement and Asset Management team.

  • Assist in vendor invoice processing through the VIM (Vendor Invoice Management) process.

  • Organize and file purchase order records, vendor communications, and logistics documentation.

Communication & Coordination:

  • Act as a liaison between DCs, vendors, suppliers, and carriers to resolve discrepancies efficiently.

  • Provide SNN data and insights to Product Managers for vendor evaluations.

  • Work closely with logistics, procurement, and Asset management teams to streamline supply chain processes.

Education & Experience:

  • Minimum 2 years of administrative experience in supply chain, logistics, or related fields.

  • Experience with vendor management, logistics coordination, or procurement support preferred.

Technical Skills:

  • Proficiency in Microsoft Office (Excel, Word, Outlook, Access) with intermediate to advanced Excel skills.

  • Experience with SAP or other ERP systems is a strong asset.

  • Ability to analyze and interpret supply chain data and generate reports.

Soft Skills:

  • Strong organizational and multitasking abilities to manage multiple priorities.

  • Excellent verbal and written communication skills to interact with suppliers, vendors, and internal teams.

  • Problem-solving mindset with the ability to handle discrepancies and resolve issues efficiently.

Working Conditions:

  • Monday to Friday, 8:00 AM – 5:00 PM (no overtime expected).

  • Office environment with frequent communication via phone and email.

  • Requires ability to sit for extended periods and work with computer systems.
