Summary: 

 

The Executive Assistant provides direct administrative support to leaders, scheduling meetings and appointments, managing office communications, and being the point of contact for a range of staff and external stakeholders.

 

What you'll be contributing:

 

Administrative Support:

  • Manage executives' calendars, schedule meetings, appointments, and travel arrangements.
  • Coordinate logistics for meetings, conferences, and events, including venue booking, catering, and audiovisual setup.
  • Prepare and distribute agendas, presentations, and meeting materials.
  • Handle incoming calls, emails, and correspondence, prioritizing and responding as appropriate.
  • Maintain organized filing systems, both electronic and physical, ensuring easy retrieval of documents and information.
  • Assist with personal tasks and projects for the executive, as needed.

Communication and Coordination:

  • Serve as a liaison between the executive and internal teams, external partners, clients, and stakeholders.
  • Draft, proofread, and edit correspondence, reports, presentations, and other documents on behalf of the executive.
  • Facilitate communication within the executive's team and across departments, ensuring timely dissemination of information.
  • Handle sensitive and confidential information with discretion and professionalism.

Information Management:

  • Conduct research, compile data, and prepare reports as requested by the executive.
  • Monitor and prioritize incoming requests, inquiries, and action items, ensuring timely follow-up and resolution.
  • Stay updated on industry trends, company policies, and executive priorities to provide informed support.

Project Assistance:

  • Assist in the planning, execution, and follow-up of special projects and initiatives as assigned by the executive.
  • Track project milestones, deadlines, and deliverables, providing status updates and assistance as needed.
  • Additional duties as assigned by supervisor.  

 

To succeed in this position, you will need:

 

  • Ability to read, write, and understand warning labels, instructions, signs, etc 
  • High School or GED required
  • Minimum 4 Year - Bachelor's Degree required
  • Minimum 5 years of experience in general office work or in a progressive administrative position. 
  • Proven experience as an executive assistant or similar role, supporting C-level executives or senior management.
  • Strong proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent verbal and written communication skills, with a keen eye for detail.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to handle changing priorities and work in a fast-paced environment.
  • Professional demeanor and strong interpersonal skills.
  • Ability to work independently with minimal supervision while also functioning as part of a team.
  • Domestic travel up to 10%
