Position Summary  

The International Student Support Manager (ISSM) is the first-line supervisor performing a wide scope of complex duties and responsibilities in managing international support services. The position reports to the Assistant Director of International Student Advising and Support (ADISAS).  The ISSM plays a vital role in the department¿s goal to increase international student enrollment, program completion, and overall student experiences from admissions to post-completion by providing culturally responsive services to international students.  

The ISSM provides a wide range of assistance to international students at a variety of stages in the student life-cycle. The four primary areas of responsibilities are: 1) managing the front desk operations, 2) supervising the student employees and projects, 3) coordinating the quarterly online placement testing and initial enrollment for new intensive English students, and 4) tracking the quarterly international student insurance program. The position serves as a Designated School Official (DSO) to process basic F-1 visa related requests.  

This position is situated at the IE front desk, works on-campus five days a week with occasional evenings and weekends.

Pay, Benefits & Work Schedule  

Position Salary Range: $51,312/year - $69,036/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

About the Department  

International Education (IE) provides primary support for students on an F and a J visa who plan to enroll in College-Credit, International High School Completion (IHSC), Bridge Pathway, International Business Professions (IBP), and Intensive English programs. IE services include international recruitment, admissions, advising, class enrollment, accident and sickness medical benefit matters, student engagement and housing referrals. In addition, IE works with our partners to develop and deliver a short-term customized program for a group of participants wishing to enhance their general English skills and experience rich, diverse Northwest cultures firsthand.

Essential Functions  

Management of Front Desk Operations and Customer Services  

  • Manage the daily front desk operations. 
  • Assess student¿s needs, exercise independent judgement by interpreting and applying policies and procedures to advise students/visitors, provide services, or resolve complaints or conflicts with a customer service mindset.
  • Supervise student employees including hiring, coaching, delegating, and scheduling shifts based on the department¿s high and low volume periods.    
    Provide services by adhering to Family Educational Rights and Privacy Act (FERPA). 
  • Interpret placement test results, advise students on the proper course selections.
  • Review and process student requests including but are not limited to enrollment verification letter, invitation letter, international bank wire invoice, travel signature on I-20, on-campus employment, and replacement of lost I-20. May assist with vacation request during the peak time as directed by the ADISAS.
  • Notify, distribute, and track quarterly diplomas/certificates for graduates.
  • Prepare and update the general nonresident tax information. 
  • Perform annual archiving projects by delegating tasks to student employees. 
  • Compile frequently asked questions and make information accessible for students and employees.
  • Review department¿s student service flow and recommend modifications and expansion with appropriate documentation and analysis.

Maintenance of the quarterly international student insurance services 

  • Monitor and process quarterly international student insurance enrollment activities including assessing qualified waivers/refunds, adding eligible dependents, keeping records, and reconciling final enrollment report with Finance within the first 30 days every quarter. 
  • Run query every week to identify students whose vacation quarter request has been approved by IE advisor, review insurance eligibility, coordinate with the Student Financial Services to add/waive the premium and notify students with insurance enrollment status.
  • Liaise with the insurance broker to resolve any pending claims, disputes, or cases related to administrative errors.

Coordination of the Intensive English program placement testing and initial enrollment services

  • Working closely with the ADISAS and the English Language Institute (ELI), coordinate online placement testing and initial enrollment services to admitted intensive English students every quarter until they arrive at BC as pre-arrival assistance.
  • Run accepted students¿ report on a weekly basis. Check NetID creation status, add accepted students to the ELI Placement Test in Canvas, and send testing instructions to accepted Intensive English students.
  • Monitor Canvas for test completion report, interpret scores and enroll students in classes, and send payment instructions to each student.
  • Run accepted Bridge Pathway students¿ report. Coordinate with the Testing Center to give placement and send enrollment instructions to the Bridge Pathway students to enroll and pay.
    Coordinate with the ELI to generate and update permission codes as need.
  • Organize test takers¿ records to maintain an efficient testing operation.
  • Respond to inquiries/complaints about placement testing within 24-48 hours.
  • Coordinate with the Admissions and International Outreach teams to send pre-arrival communication as needed.
  • May serve as the ELI placement test facilitator during the orientation and first weeks.
  • Assist in developing ELI online placement testing and enrollment guidelines in accordance with FERPA.

Supervision of the Student Employees and Projects

  • Hire and train student employees called Global Leaders (GLs) based on allotted annual budget to assign hours and tasks.
  • Plan and adjust GLs work hours for the pre-scheduled IE-led events such as new student orientation, quarterly activities, and the annual International Education Week to enable GLs to lead the student volunteers. 
  • Advise the Global Leaders (GLs) with planning and executing quarterly activities and workshops aiming to increase integration of international students into BC communities.
  • In close coordination with the ADISAS, serve as an on-site supervisor for the GL-led activities and events both on and off-campus.

  • Perform other duties as assigned.
Minimum Qualifications  
  • Bachelor¿s degree from an accredited institution AND one year of student support experience in higher education preferably at two-year colleges. Any combination of relevant education and/or experience can be substituted on a year-for-year basis
  • Demonstrated effective interpersonal, written and oral communication skills.
  • Demonstrated effective customer service skills.
  • Demonstrated familiarity with the F-1 visa regulations and the Student and Exchange Visitor Information System (SEVIS) 
  • Demonstrated experience in exercising independent judgement, effective decision-making and problem-solving skills while maintaining confidentiality and composure in a fast-paced environment
  • Demonstrated effective organizational and time-management skills
  • Demonstrated proficiency in the use of computers and software applications.
  • Flexibility of schedule and willingness to work occasional evenings and/or weekends.
  • Must be a U.S. citizen or a permanent resident to serve as a Designated School Official
Preferred Qualifications  
  • One year of supervisory experience 
  • One year of experience in Designated School Official (DSO) 
  • Experience with Terra Dotta, PeopleSoft (ctcLink), and Salesforce (Target X) or equivalent 
  • Hold a valid Washington State Driver License, auto insurance, and ability to drive a vehicle
