Position Summary
The Program Assistant provides specialized administrative and programmatic support to the Dean and Division Operations Director (DOD) of the Division of Social Science. This position is responsible for coordinating and executing a wide range of tasks essential to the effective operation of the division¿s academic and administrative programs.
Working under general supervision, the Program Assistant performs duties that require knowledge and experience specific to the division¿s programs. Responsibilities include managing logistics for meetings and events, maintaining program and division records, interpreting and applying institutional policies and procedures, and serving as a key liaison to students, faculty, staff, and the public. The role also involves supporting responding inquires, data management, and ensuring compliance with program requirements.
This position requires strong organizational skills, attention to detail, and the ability to work independently while contributing to a collaborative team environment. Pay, Benefits & Work SchedulePay rate: $20.98/hour - $27.95/hour
The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Typically new hire range for this role is $21/hour - $26/hour commensurate with experience and skills, based on Bellevue College hourly salary schedule. The successful candidate is expected to work 16-19 hours per week. This position requires the employee to work in person at least two days per week. This arrangement supports effective collaboration and team engagement, contributing to a productive and cohesive work environment. This position typically assigned as needed on a quarterly basis, with no expectation of continued employment beyond the current appointment.
The temporary hourly employment is limited to the earlier of 1,050 hours or 12 consecutive months beginning from the original date of hire. Per WAC 357-04-045, following 1,050 hours or 12 consecutive months, an individual is not eligible for re-employment at Bellevue College in another temporary part-time hourly position. Temporary hourly employees who work more than three hundred fifty (350) hours in a twelve consecutive month period may be subject to provisions of one the collective bargaining agreements covering Classified employees at Bellevue College.
This position is expected to NOT be eligible for benefits.

About the DepartmentThe Social Sciences occupy a position between the Natural Sciences and the Humanities, with considerable overlap in both fields. Indeed, some of Bellevue College¿s Social Science courses earn credit in the Natural Sciences, while others receive credit in the Humanities. Social Science has a multiplicity of disciplines including Anthropology, Business Administration, Criminal Justice, Cultural and Ethnic Studies, Economics, Geography, History, International Studies, Political Science, Psychology, and Sociology.
Essential Functions- Serve as the primary point of contact for the program and for current and potential students; provide accurate information regarding program policies and appropriate contacts, advising procedures, course offerings, and college resources.
- Respond to general advising inquiries; assist students with appointment scheduling and referrals to appropriate advisors or campus services.
- Coordinate and support the planning, organization, and execution of division operations, meetings, retreats, conferences, and special events; manage logistics and serve as the main contact for event-related inquiries.
- Promote program and division activities on campus and with external organizations; serve as a liaison to other departments and community partners.
- Identify and resolve routine issues by providing options, fulfilling services, and applying knowledge of college policies and procedures; refer unresolved or complex matters to appropriate contacts.
- Prepare, edit, and distribute a variety of communications, including meeting agendas, minutes, newsletters, announcements, ensure accuracy, clarity, and consistency in all published materials.
- Establish and maintain accurate electronic and physical filing systems, including archival records for syllabi and equipment inventory.
- Review and where appropriate edit documents for accuracy and compliance prior to publication, including syllabi, promotional materials, and web content.
- Support faculty with instructional and administrative needs; provide information on processes, facilitate communication and access to resources.
- Collaborate with faculty and staff to create and distribute promotional materials using Microsoft Word, Publisher, PowerPoint, and other tools.
- Coordinate classroom reservations and space usage; support renovation and remodeling projects for instructional and administrative areas.
- Post class cancellation notices and ensure timely communication of schedule or room changes.
- Perform advanced word processing and data management tasks, including mail merges, formatting documents, and integrating text with graphics, spreadsheets, and databases.
- Perform other related duties as assigned to support the division¿s goals and operations.
- High School Graduation or equivalent in a relevant field. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
- Minimum two (2) years of progressively responsible experience in office, clerical, secretarial, or general administrative work, including at least one year of experience assisting clients or customers with inquiries, complaints, or problem resolution.
- Effective written, verbal, and interpersonal communication skills that ensure direct and meaningful messaging with senior management, faculty, students, and other target audiences.
- Demonstrated proficiency with Microsoft Office 365, Outlook, SharePoint, Word, Excel, Teams, and PowerPoint.
- Demonstrated experience using Adobe Sign for creating, managing, and tracking electronic signatures on official documents.
- Strong diplomatic and interpersonal skills, with the ability to establish and maintain cooperative relations with diverse individuals and groups and foster a welcoming and inclusive environment.
- Demonstrated ability to maintain cooperative working relationships and preserve confidentiality.
- Demonstrated effective organizational, time-management, and administrative support skills.
- Demonstrated effective listening and problem-solving skills, a proactive approach to overcoming challenges, and the ability to be a self-starter.
- Flexible and adaptable, with the capacity to work independently and collaboratively.
- Associate's degree in Social Sciences, Humanities, Marketing, Communication, or Business Administration from an accredited institution. Formal education will substitute year-for-year for experience.
- Demonstrated experience using Qualtrics for designing, distributing, and analyzing surveys.
- Demonstrated ability to perform complex tasks utilizing SharePoint.
- Experience authoring/publishing newsletters.
- Demonstrated ability to work with diverse colleagues and students in a collaborative and inclusive environment.
- Familiarity with learning management systems and educational technology platforms that support inclusive and accessible learning experiences.
- Familiarity with educational enterprise resource planning database and tracking systems.
- Experience in event planning and coordination, with a focus on creating inclusive and welcoming environments.
- A willingness to learn and a good service ethic.
