Position SummarySALARY: $39,215.00 - $52,206.00 Annually
LOCATION: Yakima Campus
Yakima Valley College is accepting applications for a Program Assistant in the Student Life Office, a department in the Student Services division. This is a cyclic (11-month/year), full-time, Classified employee position. Annual cyclic leave is July 16 to August 15.
Reporting to the Manager of Student Life, this position works on campus under general supervision, performing work requiring knowledge and experience specific to the needs of Student Life program operations. The position serves as a primary contact for students, staff, faculty, and the public regarding Student Life programs, activities, clubs, and resources; coordinates program events and communications; supports budget monitoring and purchasing processes; and maintains records and data in support of the Student Life Office, ASYVC, and related programs including the Food Pantry.
Essential Duties- Serve as primary contact with program participants; provide information regarding Student Life program procedures, policies, and activities, including the Food Pantry, Diversity Series, student clubs, and other programs; contact may be by email, telephone, or in person.
- Provide support to student clubs and programs; provide lead guidance to student officers and work study employees.
- Create quarterly student officer and work study work schedules; create quarterly ASYVC Events Calendar.
- Update and maintain club records and Student Life printed promotional materials, including rack cards, booklets, and brochures.
- Support Student Life Office activities including events, workshops, student IDs, bus passes, student trainings, and more.
- Attend and facilitate meetings, team-building activities, conferences, and other program-related activities; schedule appointments and meetings.
- Assist the Student Life Manager with event planning including purchasing, advertising, reservations, execution, setup, and cleanup.
- Monitor program budgets in coordination with the Student Life Manager; establish and maintain database files; monitor and reconcile accounts.
- Use ctcLink (PeopleSoft) to create purchase orders, requisitions, AP vouchers, and more for the Student Life Office, clubs, and other programs.
- Order, receive, and maintain inventory and supplies.
- Oversee the Food Pantry including purchasing, organizing, restocking, and maintaining inventory; create student officer and work study work schedules for Food Pantry open hours.
- Coordinate and organize public relations activities; compose and review communications such as flyers and posters; coordinate 25Live space reservations.
- Use Word, Excel, PowerPoint, Canvas, and other tools to maintain Student Life records and conduct daily tasks.
- Compile reports and statistical data including Food Pantry data and event sign-in sheets.
- Compile and distribute information relative to program activities and historical activity reports; confer with other campus departments and outside agencies; serve as a Student Life representative on departmental and campus committees and focus groups.
- May direct the work of student employees.
- Perform related duties as required.
Knowledge Of
- Student Life program operations, activities, and resources including student clubs, ASYVC governance, and campus engagement programs.
- Budget coordination and monitoring principles, including purchasing processes, account reconciliation, and fiscal recordkeeping.
- ctcLink (PeopleSoft) or similar ERP systems for processing purchase orders, requisitions, and AP vouchers.
- Principles of event planning, coordination, and logistics including promotion, reservations, and setup.
- Inventory management principles including ordering, tracking, and maintaining adequate stock levels.
- Professional standards for written communications, public relations materials, and record retention.
- Office productivity software including Microsoft Word, Excel, and PowerPoint, and platforms such as Canvas and 25Live.
- Customer service principles and effective communication techniques with diverse student, staff, faculty, and public populations.
Ability To
- Serve as an effective and welcoming primary contact for students, staff, faculty, and the public regarding Student Life programs and resources.
- Organize, prioritize, and manage multiple tasks and deadlines in a fast-paced, student-centered environment.
- Provide lead guidance and direction to student officers and work-study employees.
- Monitor program budgets and process fiscal documents accurately using ctcLink and related systems.
- Compose clear, professional written communications and promotional materials.
- Establish and maintain accurate paper and electronic records, databases, and reports.
- Work collaboratively with campus departments, outside agencies, and student organizations.
- Communicate accurate information both in writing and verbally with people of diverse backgrounds.
- Learn and properly utilize new electronic systems and platforms as needed.
- High School graduation or equivalent
- Two years of full-time clerical experience
- Proficient use of Microsoft Suite Programs including Word, Excel, and PowerPoint
- Experience working in a student life, student services, or higher education environment
- Experience with budget monitoring, purchasing processes, or fiscal recordkeeping
- Experience with ctcLink (PeopleSoft) or a similar ERP system
- Experience coordinating events, programs, or activities in a public-facing role
- Experience providing lead guidance or direction to student employees or volunteers
- Bilingual/Biliterate: English/Spanish
- Demonstrated commitment to diversity, equity, and inclusion in serving students

Retirement and Deferred Compensation

Paid Leave and Other Incentives
