Position Summary  

The Program Specialist serves as the primary point of contact at the front desk reception area of the Social Science Division, creating a welcoming and professional environment for students, faculty, staff, and community members. This role provides exceptional customer service, manages front desk operations, and disseminates accurate information to all stakeholders. The Program Specialist supports day-to-day program operations by interpreting and applying program-specific policies, assessing needs, and developing strategies to ensure effective delivery of services. 

Additional responsibilities include maintaining current content on the division¿s website¿covering admissions, registration, college policies, and promotional materials¿and assisting with marketing and outreach activities to increase awareness and engagement. Reporting to the Division Operations Director, this position plays a vital role in advancing the college¿s mission. This position aligns with and contributes to the organization's mission and goals by providing administrative support in creating an environment that supports effective teaching and thus student success.

Pay, Benefits & Work Schedule  

Position Salary Range: $45,900/year - $61,296/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the Department  

The Social Sciences occupy a position between the Natural Sciences and the Humanities, with considerable overlap in both fields. Indeed, some of Bellevue College's Social Science courses earn credit in the Natural Sciences, while others receive credit in the Humanities.  This position notwithstanding, the Social Sciences also stand uniquely alone, having given rise to some of the most important intellectual work of the modern world. This work has deepened our knowledge of humanity and laid bare the complexity and richness of the human condition.  It has as well gifted humanity with a multiplicity of disciplines.  Among these are Accounting, Anthropology, Business Administration Transfer, Business Analysis & Technology, Business Management & Technology, Criminal Justice, Cultural and Ethnic Studies, Data Management & Analysis,  Digital Marketing, Economics, Geography, History, International Studies, Political Science, Psychology and Sociology.

Essential Functions  

Provide Customer Service and Support Student Success:

  • Oversee front desk operations as the primary point of contact for students, faculty, staff, and community members, ensuring that calls, visitors, and messages (via MS Teams, phone, and mail) are prioritized and handled professionally. Provide accurate and up to date information about divisional and departmental procedures and services.
  • Receive and efficiently triage inquiries and direct those outside the department¿s core functions to appropriate campus or community resources.
  • Assist students in scheduling appointments with Academic Advisors and Program Managers.
  • Refer students to relevant advisors and help them navigate college services and resources for academic and career exploration.
  • Maintain the division¿s syllabi library and office hours schedule to ensure timely and accurate information is available to students.
  • Assist in managing permission codes in collaboration with Enrollment Services and resolve registration issues as needed.
  • Post cancellation notices for on-campus classes and support faculty with absence reporting procedures as needed.

Administration and Office Operational Support:

  • Open, close, and/or maintain division front office, mail/copy room, faculty prep room, conference room, and kitchenette; report any cleaning or maintenance issues to custodian through online request center.
  • Oversee and coordinate classroom assignment; reserve facilities in 25Live; assist faculty to reserve final exam classrooms, computer classroom scheduling, classroom change requests, and meeting room scheduling as needed.
  • Maintain accurate and secure electronic record-keeping systems in SharePoint, MS Teams, and other external cloud-based business applications.
  • Handle confidential documents, information, and projects with discretion per college and FERPA guidelines, including preparation, distribution, and filing of official signature documents.
  • Assist faculty as needed including answering questions, acting as a resource, and providing clerical assistance.
  • Coordinate and arrange personnel activities such as recruitment activities.
  • Assist with special events and projects such as division retreats, meetings, and events, etc.

Marketing & Outreach:

  • Manage and maintain department websites using the college¿s content management system (i.e. WordPress), ensuring accuracy, quality, and currency in alignment with the college and division standards; assist other program webmasters with content management.
  • Collaborate with the Institutional Advancement office and Program Chairs to develop digital and print materials aligned with Bellevue College branding and college policies and procedures.
  • Collaborate with faculty to create, develop, and compile promotional materials, including flyers, posters, brochures, and other marketing materials using MS Word, PowerPoint, Designer, Adobe Photoshop & Illustrator or InDesign in compliance with Bellevue College policies and procedures.
  • Review and revise electronic documents for accuracy prior to publishing. This includes, but is not limited to quarterly syllabi, program activity announcements, advertising, web posters in compliance with Bellevue College policies and procedures.
  • Represent the division at events such as Discovery Day and college fairs to promote programs and engage prospective students.
  • Follow campus procedures to organize program-related meetings/events (campus catering, meals with meetings, Advisory Committee policies, etc.).
  • Post updates and promotional content on BC FYI and social media platforms to enhance visibility of division programs, events, and student resources as needed.

Supervision:

  • Supervise and train part-time staff and student employees providing front desk support for the Social Science Division.
  • Disseminate accurate and up-to-date departmental and college information to team.
  • Recruit, evaluate, and schedule part-time staff and student employees.
  • Recommend corrective or disciplinary actions.

Other:

  • Perform other duties as assigned.
Minimum Qualifications  
  • Associate¿s degree from an accredited institution. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
  • Minimum of two (2) years of front-desk or customer service experience in an education or public-facing environment.
  • Minimum of two (2) years of supervisory experience, including responsibilities for scheduling, training, supporting, and conducting performance reviews for staff.
  • Proficiency in Microsoft Office including Word, Outlook, Teams, PowerPoint, Designer and Excel, including functions, formulas, and data analysis tools.
  • Experience working with WordPress or similar Content Management System.
  • Demonstrated experience with digital file management, including organizing, maintaining, and retrieving electronic documents.
  • Experience working with a wide range of stakeholders including but not limited to colleagues and/or students in a collaborative manner.
  • Effective written, verbal, interpersonal, and communication skills including problem-solving skills.
  • Demonstrated ability to maintain confidentiality and a high level of attention to detail.
  • Demonstrated ability to optimize images for web use using common design tools (e.g., Adobe Photoshop, Illustrator, or InDesign).
  • Demonstrated experience prioritizing tasks and effective project management skills with multiple projects through completion.
  • Effective time management and multi-tasking skills. Demonstrated ability to adapt to changing priorities.
  • Self-starter with a demonstrated ability to work independently with minimal oversight. 
Preferred Qualifications  
  • Bachelor's degree from an accredited institution.
  • Knowledge and/or experience in marketing and communications.
  • Digital Marketing Experience, including planning and executing campaigns across multiple channels and using analytics tools.
  • Strong written communication and attention to detail for reviewing and publishing accurate content.
  • Demonstrated experience anticipating office needs and initiating routine tasks in a collaborative environment.
  • Experience with data analysis, including the use of tools such as Excel, Power BI, or Tableau. Experience with SharePoint or other cloud-based management platforms. ¿ Experience creating flowcharts or process diagrams using tools such as Microsoft Visio, Lucid chart, or similar applications.
  • Work experience in higher education and/or secondary education, general understanding of the regulatory framework such as FERPA guidelines.
  • Experience working with PeopleSoft, ctcLink, or similar systems.
