Position Summary  

Reporting directly to the Dean, the Senior Manager, Dean's Office provides executive support and strategic operational capacity to the Dean, working in close coordination with the Division Operations Director (DOD) and other division leadership. This position serves as a primary internal and external liaison for the Dean's office, serving as a designee for the Dean, managing the Dean's commitments and communications, serving as a project manager for the Dean and division, developing, implementing and stewarding confidential personnel processes, and representing the Dean's strategic priorities. This position acts as a key steward of the Dean's Office, fostering collaboration, communication, and operational excellence across the division. Given the division's size, complexity, and community impact, this position also provides the strategic and operational capacity needed to advance division-level initiatives that support Bellevue College's Be Bold strategic plan, strengthening community and industry partnerships, supporting research and grant activity, and improving cross-departmental processes in service of student success, shared purpose, community vibrancy, and operational excellence.

There are a total of five (5) positions available. Upon hire, each individual will be assigned to one of the following divisions based on organizational needs.Two of the vacancies will be assigned to the Health Sciences, Education, and Wellness Institute (HSEWI) division.

Pay, Benefits & Work Schedule  

Position Salary Range: $78,777/year - $114,227/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Typically, new hires start no higher than $87,639/year based on Bellevue College Exempt salary schedule.

We offer comprehensive compensation package with salary and benefits as the main components. Generous benefits package is offered through Washington State plans that includes multiple medical, dental, life and disability coverage choices for employees and dependents; choices of retirement and deferred compensation plans; paid holidays, sick, and vacation plans; transit program, reduced tuition, employee discounts and memberships, etc.

The employee is scheduled to work 40 hours per workweek. This position may be eligible for overtime under the overtime provisions of the Fair Labor Standards Act. Positions with salaries below the WA State Salary Threshold is eligible for overtime pay.

About the Department  

Academic Affairs delivers instructional programs that advance Bellevue College's mission of providing innovative, relevant, and equitable educational opportunities. The area includes a broad range of academic disciplines and professional-technical pathways, offering courses and programs that prepare students for transfer, careers, and lifelong learning.

Academic Affairs is the administrative home for its instructional programs and faculty, providing leadership, operational support, and oversight for the delivery of high-quality instruction. Led by Deans, the area oversees curriculum planning, scheduling, assessment, accreditation, faculty support and development, and continuous improvement in teaching and learning. The area collaborates with campus partners to advance operational priorities and implement Bellevue College's strategic plan in support of student success.

Essential Functions  

Confidential Executive Support & Institutional Representation

  • Prioritize and resolve competing demands and commitments on the Dean's behalf.
  • Respond to confidential and sensitive matters involving personnel, labor relations, and institutional business on the Dean's behalf.
  • Coordinate the confidential tenure, promotion, and performance review process on the Dean's behalf, including compiling and organizing personnel materials, tracking procedural deadlines under the collective bargaining agreement, coordinating submissions from faculty, program chairs, and personnel committees, preparing recommendation materials for the Dean's review, and maintaining secure and confidential records, with all final decisions and signature authority remaining with the Dean.
  • Draft and, when authorized, finalize correspondence and communications on the Dean's behalf.
  • Represent the Dean, as delegated, at meetings and with internal and external stakeholders Represent the Dean's priorities, as delegated, in institution-wide committees, governance, and initiatives.

Strategic Initiative Project Management & Process Improvement

  • Manage area-level strategic initiatives directed by the Dean, including establishing timelines and milestones, tracking deliverables and deadlines, monitoring progress against Bellevue College's Be Bold strategic plan, recording outcomes, and preparing status updates and reports for the Dean.
  • Provide project management for Dean-directed division initiatives, including timelines, deliverables, and stakeholder communication.
  • Lead division-leadership-level process improvement efforts, distinct from the day-to-day standard operating procedure documentation maintained by division administrative staff.
  • Partner with the DOD and other division leadership to align strategic initiatives with divisional operations and academic priorities.
  • Prepare reports, presentations, and communications on the Dean's behalf for division and institutional audiences.

Community Partnership & Research/Grant Support

  • Coordinate agreements, advisory relationships, and follow-through communications in support of the Dean's development and stewardship of community, industry, and educational partnerships.
  • Coordinate proposal development, compliance tracking, and reporting support for division-level research and grant activity.
  • Support the Dean's participation in college advancement and fundraising efforts connected to division initiatives, including coordinating scheduling and logistics for donor engagements, preparing briefing materials and division impact information for the Dean's use, coordinating with the Office of Advancement on division-level needs, and tracking follow-up actions from donor interactions.
  • Represent the Dean, as delegated, at community and partner-facing events.

Supervision and Division Leadership Coordination

  • Supervise staff (classified, student and temporary) including assignment of work, performance management, coaching, and professional development ensuring high-quality work, effective collaboration, and sustainable workload management.
  • Set priorities, timelines, and quality standards for work in alignment with division needs.
  • Foster a collaborative, service-oriented team culture that emphasizes accountability, equity, and continuous improvement.
  • Support workforce stability and capacity by aligning staff skills, roles, and workflows with evolving institutional priorities.
  • Coordinate regular communication and information flow across division leadership (Dean, DOD, and, where applicable, Associate Dean) to support aligned decision-making.
  • Plan agendas and materials for division leadership meetings, retreats, and planning sessions.
  • Track and facilitate completion of action items arising from division leadership decisions.
  • Communicate and collaborate regularly with the Office of the Provost to ensure alignment of division priorities, processes, and initiatives with Academic Affairs' broader direction.

Minimum Qualifications  
  • Bachelor's degree; Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
  • Experience in a senior administrative, executive-support, project or program coordination, or confidential-assistant role with increasing responsibility.
  • Demonstrated experience exercising independent judgment and discretion on confidential and sensitive matters 
  • Experience providing supervision, lead responsibility, or functional leadership for professional staff, project teams, or cross-functional work groups.
  • Demonstrated experience coordinating cross-functional or interdepartmental initiatives and projects, including managing timelines, deliverables, and multiple stakeholders.
  • Demonstrated experience supporting partnership development, community or industry engagement, or grant and research activity.
  • Demonstrated experience creating positive, inclusive, and collaborative environments.
  • Demonstrated ability to interpret and apply institutional policy and, where applicable, collective bargaining agreement provisions with minimal oversight.
  • Demonstrated judgment, tact and diplomacy skills representing a senior leader with internal and external stakeholders.
  • Demonstrated organizational and time management skills, with the ability to manage competing priorities and deadlines across multiple concurrent initiatives.
  • Demonstrated ability to maintain strict confidentiality.
  • Effective written, verbal, and interpersonal communication skills, including the ability to draft and finalize correspondence on behalf of senior leadership.
  • Proficient with Microsoft Office 365, Teams, and SharePoint or WordPress or similar website content management editing tool as an end user.
Preferred Qualifications  
  • Experience directly supporting a dean, vice president, president, or other senior executive in higher education.
  • Experience with academic personnel processes (tenure, promotion, faculty contracts) under a collective bargaining agreement.
  • Experience with grant writing, sponsored programs administration, or research compliance support.
  • Experience developing or stewarding community, industry, or educational partnerships.
  • Knowledge of Washington State community college processes and procedures, including the WAC and RCW as they relate to higher education.
  • Project management certification or equivalent formal project management training.
  • Experience supervising or providing work direction to student employees or interns.
