Description

JOB PURPOSE To provide strategical support to the President of a multi-entity enterprise. The Executive Coordinator will work closely with high-level representatives from each entity to ensure clear communication of assignments, expectations, and accountability procedures. The Executive Coordinator will effectively manage timelines, projects, and deliverables.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Executive Coordinator shall:

  • Manage calendar and daily, weekly, monthly schedules for appointments and meetings
  • Organize meetings by creating agendas, attending the meetings, crafting action items, and effectively following up on behalf of the President. Will include usage of assigned Project Management tool such as Monday.com or other.
  • Document and track multiple task lists for each entity, both via email and calendar follow-ups, and through assigned Project Management tool.
  • Have detailed understanding on company strategic initiatives and is actively engaged in ensuring initiatives are progressing, issues are identified, and bottlenecks are resolved with initiative owners.
  • Works independently and within a team on special and nonrecurring and ongoing projects. Acts as a project manager for special projects, at the request of the President.
  • Manage and organize physical office space of President and surrounding suite environment.
  • Manage and complete assigned duties.
  • Manage and complete assigned duties on behalf of President when required.
  • Prepare communications such as memos, meeting notices, reports, and other correspondence on behalf of President.
  • Maintain company files in good order for record keeping.
  • Handles confidential and non-routine information.
  • Ensure adherence to good safety procedures.
  • Perform other duties as directed by the President.
  • Follow federal and state laws, as well as company policies.

  8. Communication Skills: Excellent oral, written, interpersonal (active listening) communication skills.
  9. Ability to manage multiple tasks.
  10. Preferred skills include business or personnel administration, marketing, personnel relations or a related field.
  11. Excellent interpersonal skills: Being courteous, professional, and helpful.

 

JOB REQUIREMENTS
  • High School Diploma or bachelor's degree from an accredited institution or sufficient experience, equivalent or higher.
  • Minimum of two (2) years of work experience and or training in a relevant position.
  • Such alternatives to the above requirements as Company may find appropriate and acceptable.
  • Possible travel required to off-site locations including overnight trips.

PHYSICAL DEMANDS

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with Company salary and benefit policy. Length of the work year and hours of employment shall be those established by the Company.

 

FLSA OVERTIME CATEGORY

Job is exempt from the minimum wage and overtime provisions of the Fair Labor Standards Act.

 

EVALUATION

Performance will be evaluated in accordance with the Company's policy.
