JOB SUMMARY

Supervises reception staff, mailroom staff and supports mailroom operations; providing excellent customer service. 

ESSENTIAL FUNCTIONS

  • Supervises mailroom and reception staff ensuring all shifts are covered and tasks are carried out in a timely manner.
  • Monitors day porter and building maintenance issues.
  • Ensures mail is distributed by coordinating the retrieval of items from post office and delivery services; preparing schedule for mail deliveries and pick-up; assisting with sorting of mail, determining destination and type of delivery for items; arranging for special handling.
  • Complies with postal service and delivery service requirements by coordinating with the Federal Post Office and courier services.
  • Supports cost-control measures by making recommending cost-saving actions.
  • Monitors department expenditures by coordinating charge-back of postal costs; maintaining tracking and billing systems; preparing reports.
  • Maintains record retention off-site storage.  Monitors storage volume and keeps accounts updated. 
  • Oversee postage meter maintenance and repair, and ensure meter always has an ample amount of postage credit.
  • Prepare monthly reports for postage usage for the postage meter and business accounts with the post office.
  • Properly codes and processes all invoices related to building maintenance and mailroom
  • Contributes to team effort by accomplishing related results as needed.
  • All other duties as assigned.

QUALIFICATIONS

  • High school diploma or GED required.
  • Preferred 2 year experience working in a postal or mail center environment.
  • Preferred 4 years of administrative/clerical experience.
  • Experience with MS Outlook, Excel, and Word required.
  • Must possess a valid driver's license and appropriate car liability insurance.
