ONBOARDING SPECIALIST WHAT IS THE OPPORTUNITY? The Onboarding Specialist is responsible for both contingent workers and new colleagues. As the Contingent Onboarding Specialist, you will focus primarily (80%) on coordinating the onboarding process for temporary/contingent workers, managing background and fingerprint results, tracking outstanding documentation, and ensuring a smooth and compliant start. The remaining 20% of your role will involve supporting new hire onboarding for new colleagues, helping deliver a consistent and welcoming experience across all onboarding types. The Onboarding Specialist is responsible for bringing a best-in-class, colleague-first experience enriched for our new colleagues. The Onboarding Specialist will play an important role in our future success and will create a positive experience for our new colleagues in partnership with our Talent Acquisition Consultants, Hiring Managers and HR Business Partners. Specialist will use technology, analytics, stellar communications, a colleague-first centric approach, outreach, and working cross-functionally with many teams to offer an elevated level of care and attention to detail for all onboarding initiatives across the bank. The Onboarding Specialist will serve as the primary support to the HR Shared Services Organization on a wide array of complex and multi-dimensional staffing matters and will serve as a resource for inquiries from customer/clients. In addition, the Onboarding Specialist will serve as the primary contact to new hires and guides them through the entire new hire process. The role involves collaborating with key stakeholders across the organization to ensure that new colleagues receive a positive and effective onboarding experience that helps them acclimate to the company culture, understand their role and responsibilities, and become productive members of the team.Will partner with a team of committed HR Business Partners and Hiring Managers who will help implement an industry leading onboarding experience. They will work with the Onboarding Specialist and define the overall approach and execution of this important experience; all while ensuring that all new colleagues have completed all required pre-employment processes and meet all regulatory and compliance standards. This colleague represents the organization to both internal and external clients (colleagues, managers, applicants, external recruiters) consistent with the Bank's recruitment policies and practices, and service culture. WHAT WILL YOU DO?
Onboarding for Contingent Workers (Temps/Contractors):
- Manage and facilitate the end-to-end onboarding process for contingent workers
- Serve as the primary point of contact for hiring managers, staffing vendors and internal departments (e.g., HR, IT, Compliance) regarding contingent onboarding
- Monitor onboarding task queues and track outstanding or incomplete documentation to ensure all requirements are completed before start dates.
- Ensure all ServiceNow request tickets are closed out within 30 days of request
- Review background checks and fingerprinting results, flag all adverse findings and escalate in accordance with compliance protocols
- Oversee completion of all pre-employment requirements, including background screening, and onboarding forms.
- Communicate clearly and promptly with vendors and internal teams about next steps, required actions, or delays in the onboarding process
- Maintain accurate onboarding records and documentation for audit and compliance purposes
- Identify and support process improvements; help maintain onboarding workflows, standard operating procedures, and FAQs
Onboarding for Regular Colleagues (Full/Part Time Employees):
- Facilitate onboarding processes and content to ensure the new colleagues receive information necessary to acclimate quickly and accelerate their onboarding experience.
- Ensure that new colleagues receive a positive and welcoming experience, and that their questions and concerns are addressed in a timely and professional manner.
- Manage any Onboarding/New Hire programs and work with HRBP's, Talent, Learning, and Hiring Managers to ensure consistency.
- Work closely with HR and talent acquisition consultants to ensure a seamless transition from recruitment to onboarding
- Continuously update and refine the onboarding program to ensure that it reflects best practices and meets the needs of a changing workforce.
- Manage the onboarding process, including scheduling, logistics, and communications.
- Serves as a resource for onboarding and compliance policies, procedures, and practices to supervisors, HR staff, and others.
- Documents all colleague referral bonus requests
- Oversees all hiring and onboarding processes
- Assists candidates with onboarding documentation and information
- Assists candidates with background checks and pre-employment screening processes
- Reviews hiring package to ensure accuracy and completeness
- Performs E-Verify processes for I-9 forms and reviews documents for validity
- Verification of all credentials on state, federal and regulatory websites
- Completes new hire education and license verification
- Assists with Talent Acquisition and HR Shared Service projects as needed
- Oversees compliance and process with organizing and uploading candidate information with all required internal and external databases
- Updates Hiring Managers, TA Consultants and HR Business Partners on the status of new hires and where they are in the onboarding process on a weekly basis
- Conducts regular follow-up and check-in during the first 90 days with all new hires; including being a liaison for new hire questions during first 90 days
- Product timely and accurate routine and ad hoc reports with applicant tracking system.
- Assist other members of Human Resources as needed.
- Complete special projects and other duties as assigned.
- Associate's Degree or equivalent
- Minimum of 2 years' experience in Human Resources, Talent Acquisition or other related administrative responsibilities (experience with contingent/contractor workers preferred)
- Minimum of 2 years' experience with MS Office Suite (Word, Excel, PowerPoint)
- Knowledge of Federal, California and other state employment policies, procedures. laws, and guidelines.
- Knowledge of US immigration laws affecting the legal right to work
- Experience using ADP, iCIMS, UKG, Workday or other related ATS/HRIS systems preferred
- Team player with strong attention to detail, internet savvy and client service focus
- Excellent communications skills, both written and oral. Knowledge of current and emerging digital trends
- Self-starter who is able to navigate ambiguity with curiosity, problem solving and critical thinking.
- Experience and understanding of recruitment and onboarding related policies and compliance for the banking industry
- Previous experience with HR databases and automated recruiting tools preferred
- Knowledge of Human Resources functions preferred
- Demonstrated ability to coordinate and perform multiple tasks simultaneously
- Demonstrated organizational/time utilization skills
- Proven attention to detail/accuracy
- Excellent client services skills
- Ability to work cross functionally with a wide range of colleagues at various levels
- Proficient with Microsoft Office software (Word, Excel, PowerPoint)
