Join the Community Recreation and Culture team and help bring history to life! We are looking for dedicated individuals to provide vital administrative support to our Heritage Experiences Education unit. In this role, you will be the first point of contact for the community, helping visitors navigate educational programs, Indigenous programming, and special event bookings. As a Program Administrative Support Clerk, you will play a central role in connecting the public with the diverse programs offered at Fort Edmonton Park. You will be responsible for managing reservation requests, consulting with customers to recommend programs that meet their specific interests and age groups, and ensuring all booking details are communicated clearly to the delivery staff. Beyond reservations, you will handle essential administrative tasks such as processing payments, resolving account inquiries, and managing program waitlists. This position requires a balance of high-volume public interaction and detail-oriented data management to ensure a seamless experience for all visitors. You will work collaboratively with internal teams to maintain accurate program calendars and resource materials. Ultimately, your work ensures that our educational and recreational programs remain accessible and well-organized for the entire community.

What will you do?

  • Receive and respond to reservation requests from the public via telephone and online queries in a timely manner
  • Consult with customers to recommend programs, venues, and activities suited to their specific needs and interests
  • Complete bookings for educational programs, Indigenous programs, and birthday parties using RAMS/Intelli systems
  • Process client payments, resolve accounts receivable (A/R) inquiries, and track overdue accounts
  • Manage program waitlists, cancellations, and seasonal participant evaluations
  • Coordinate with staff colleagues to communicate booking needs and establish timelines for collaborative tasks
  • Maintain and update resource materials, program calendars, venue availability, and staff availability lists
  • Collect data and prepare statistical reports while ensuring the website and 311 scripting remain accurate
  • Other related duties as required
Qualifications

  • Completion of the twelfth (12th) school grade or an appropriate certificate program from an approved business school or college
  • A minimum of two (2) years of experience working with the general public, tour groups, children, or other program users

Assets

  • Experience using reservation or booking software such as RAMS or Intelli
  • Previous experience in a municipal or heritage park setting
  • Experience handling accounts receivable and basic financial processing

  • Exceptional Customer Service: Proven ability to meet and deal effectively with the public and community partners
  • Technical Proficiency: Strong efficiency in Google Suite and general computer applications
  • Administrative Excellence: Knowledge of common office practices, record maintenance, and report preparation
  • Decision Making: Ability to make independent decisions within the framework of established policies and procedures
  • Communication: Strong interpersonal skills to collaborate with internal team members and share information effectively

Conditions of Employment:

  • Hire is dependent on Police Information Check with Vulnerable Sector Check satisfactory to the City of Edmonton, and there may be a cost associated with this requirement

Work Environment:

  • Due to the nature of this work, this position is not eligible for a hybrid work arrangement
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement, and the incumbent will be notified in advance
  • This role works in both indoor and outdoor settings
  • You may be frequently exposed to common plant allergens and livestock
  • You may encounter various environmental conditions such as dust, heat, or cold extremes depending on the season
