The Integrated Infrastructure Services (IIS) and the Building Great Neighbourhood Branch as a Project Coordinator with the Open Spaces Planning and Design (OSPD) Section.
Within the OSPD Project Management Team, project assignments for Project Coordinators generally include:
- Lead small-scale capital projects with a focused scope having limited complexity
- Support tasks associated with large-scale capital projects having greater complexity
- Lead community-led projects that require process oversight and strong stakeholder management

As a Project Coordinator in OSPD, you can play a pivotal role in the planning and design phases of open space projects. You will lead or oversee all aspects of project development, supporting the successful design and delivery of open space infrastructure.
Your leadership, influence and collaborative approach will be key in navigating the complexities of these unique and exciting projects.
Effective communication will be at the forefront of your responsibilities, as you engage with diverse stakeholders and subject matter experts, including residents, community groups, landscape architects, engineers, and contractors. Your systems-thinking mindset and solution-oriented approach will contribute significantly to the success of the city's open space infrastructure.
What will you do?
Manage all aspects of assigned open spaces project development including:
Scope
- Plan and prepare clear project objectives for internal business partners and project teams
- Facilitate the successful completion of project tasks to achieve project objectives
Schedule
- Plan and prepare accurate project schedules
- Assess ongoing schedule performance through monitoring of progress, actuals, and trends
Cost
- Plan and prepare accurate project and staffing estimates
- Assess ongoing cost performance through monitoring of progress, actuals, and commitments
Risk
- Identify risks and manage risk responses
- Monitor and control risk
Procurement and Contract Management
- Plan procurement requirements and ensure contracts are established following due process
- Effectively manage consultants and associated business processes - including performance management
Resource
- Advance the project through effective resource management - including internal SMEs, consultants etc.
- Provide feedback and support the project team in project execution
Communications
- Identify, document and effectively communicate project requirements to business partners, sponsors, consultants and contractors
- Effectively manage project team interfaces for efficient and effective delivery of the project
Stakeholders
- Identify and plan engagement with stakeholders
- Engage and collaborate with business partners and stakeholders in alignment with resource management plans throughout the project
- Establish and maintain positive relationships with key stakeholders
Safety and Environmental
- Effectively delivers Health, Safety and Environmental (HSE) requirements
- Monitor and control all safety and environmental management requirements
- Identify, document and communicate project environmental requirements
- Effectively deliver environmental requirements to achieve project objectives
Quality
- Identify, document and communicate project quality requirements
- Effectively develop project objectives that meet quality requirements
- Monitor and control quality activities throughout the project
Financial
- Confirm the project is funded according to corporate financial processes
- Apply an understanding of the COE financial cycle and processes
- Employ effective cost-control mechanisms to forecast if/when funds need to be released
- Tracks progress of actual against planned expenditures
Responsible
- Balance demands of schedule, cost and quality
- Manage the project within the parameters of established project constraints - including costs, schedules and quality
- Address change management requirements through departmental processes
- Provide oversight for community-led partner projects
- Facilitate project team, stakeholder engagement and onsite meetings, as required
Accountable
- Alignment of project activities with corporate policies, strategic plans, design standards, operational requirements and processes
- Project deliverables as required to support project success and meet requirements of corporate, departmental and business area processes
- Project outcomes effectively achieve the intended goals
Lead
- Project Management requirements in alignment with the ‘Develop' phases of the corporate project management model
- Ensure transition to Delivery project manager support project success
