The Highlights:

The Administrative Assistant at School of Nursing DePaul University will provide administrative support to ensure the smooth operation of the BSN program within the nursing school. This role requires exceptional organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. The Administrative Assistant will work closely with the BSN associate director and nursing school director and staff to facilitate administrative processes and contribute to the overall success of the BSN program.


What You'll Do:

  • Provide administrative support to Associate Director in BSN as well as faculty, staff, and students within the program. This includes:
    * Manage calendars, schedule appointments, and coordinate meetings and events.
    * Prepare and distribute correspondence, reports, and other documents.
    * Serve as a point of contact for inquiries from students, faculty, staff, and external stakeholders.
    * Assist with the procurement of office supplies and equipment.
    * Coordinate travel arrangements and process travel expenses for faculty and staff as needed.
    * Supervise student workers and/or student research assistants as required
  • Assist with the coordination of student admissions, enrollment, and registration processes. This will involve maintaining accurate records and databases, including student records, course schedules, and faculty information, and maintaining confidentiality of sensitive information and adhering to data protection regulations
  • Assist with the organization and execution of academic programs, workshops, and special events. 
  • Assist with the preparation of grant proposals, funding applications, and research documentation. 
  • Supervision of student workers or student research assistants may be required.

What You'll Need:

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Proven experience in an administrative support role, preferably in an academic or healthcare setting.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills.
  • Ability to work independently with minimal supervision and as part of a team.
  • Attention to detail and accuracy in work.
  • Flexibility and adaptability to changing priorities and situations.
  • Knowledge of medical terminology and healthcare systems is a plus.
  • Commitment to upholding the values and mission of the nursing school.
  • Strong communication skills for working with students, staff and faculty.
