General Summary:

The Procurement Specialist partners with the Procurement Manager and category stakeholders on strategic procurement processes and execution. Stakeholders may include (but not limited to) senior leadership, spend owners, category managers, suppliers, etc. The Procurement Specialist is also responsible for assisting with our Small Parcel and Company Car Programs. The Procurement Specialist is responsible for submitting invoices or purchase orders in our procure to pay system (Coupa).

The Procurement Specialist supports the overall Procurement Team, as needed, in executing the negotiated agreements by providing project support, such as (but not limited to) supplier research, purchase order issuance, invoice audit for recovery, inventory management and compliance enforcement.

Duties & Responsibilities:

 

Procurement Administration

  • Weekly Small Parcel invoice execution.
  • Assisting with Company Car Program invoices payments.
  • Monitors the Company Car shared mailbox with assistance of Procurement Manager.
  • Compiles and maintains information and records to prepare purchase orders, and reviews or.

processes invoices

  • Issue purchase orders.
  • Tracks and research orders, ensuring timely fulfillment, and communicating with distribution centers as needed.

Sourcing Project Execution

  • With direction from the Procurement Manager, supports the processes and infrastructure necessary to achieve best-in-class procurement practices including:
  • RFP and Auction Programming.
  • Supplier Search, Outreach, Training, and Documentation.
  • Internal User Training and Documentation (Standard Operating Procedures).
  • Develop category-specific supplier communication plan to support the execution of theprocurement strategy.
  • Conduct supplier orientation and training on the procurement process.
  • Validate final bids and generate and distribute Request for Proposals and auction reports.
  • Communicate with suppliers in RFP's to ensure timely responses.
  • Support the implementation recommendation for categories, where appropriate.

Knowledge, Skills and Abilities (KSAs):

  • Strong communication, interpersonal and consultant-type skills in managing various internal stakeholders, cultural dynamics and effectively interfacing with multiple levels within the organization.
  • Proficient understanding of Internet technology.
  • Must have ability to work in fast-paced environment and be highly adaptable to change.
  • Ability to think “outside the box” and be an entrepreneurial self-starter.
  • Ability to accomplish multiple tasks simultaneously, with the ability to prioritize.
  • Ability to be a team player and be customer service driven.
Qualifications:

Work Experience &/or Education:

  • Bachelor's degree in Business.
  • A minimum of 3 years of relevant professional experience may be substituted for the degree.
  • Up to 2 years e-procurement experience.
  • Demonstrated project management skills (specifically in managing multiple projects).
  • Proficient in Microsoft Office: Word, Excel, Outlook, PowerPoint.
  • Knowledge of Ariba and Coupa systems a plus.
