Position Concept
The Development Coordinator plays a critical role in supporting a high-performing development team responsible for managing a $200M fundraising portfolio. This position provides proposal and project management support for a portfolio of corporate, foundation and government grants managed by three Development Directors, project management, administrative and scheduling support to the Chief Development Officer, and oversees database and systems management for the overall team's Moves Management process. The Development Coordinator ensures smooth operations for proposal creation, accurate data, and effective coordination across all development functions, enabling the team to maximize donor engagement and revenue.
Duties & Responsibilities
- Support Development Directors in the project management of the proposal process for a portfolio of $200M across corporate, foundation and government grants, ensuring deadlines, deliverables, and donor engagement activities stay on track.
- Serve as the primary data entry staff person for the Development CRM, ensuring data accuracy, consistency and timely entry. Data to include donor financial gifts, gifts-in kind, donor meetings, record creation, report pulling and other critical database projects.
- Coordinate cross-developmental workflows related to proposals, project implementation meetings, project timelines, reports, stewardship materials, and donor communications.
- Manage the CDO's calendar, scheduling, travel logistics and funder meeting preparation; draft correspondence, meeting agendas and follow-up notes on behalf of the CDO.
- Support the CDO in tracking strategic priorities, department goals, and team-wide initiatives.
- Manage the moves management process for the development team and senior leadership, including tracking donor stages, next steps, and portfolio activity.
- Generate regular reports, dashboards and analytics to support portfolio reviews and strategic decision-making.
- Oversee gift processing coordination with finance, ensure accurate coding, documentation and reconciliation and donor acknowledgement; manage the gifts in-kind process for development and program teams.
- Train team members on CRM best practices and troubleshoot system issues as needed.
- Manage the Success Awards process of administering program recipient grants of up to $50,000 annually including the intake and award process.
- Maintain and optimize development systems, tools, and workflows to support efficient fundraising operations.
Qualifications
- Bachelor's degree, from an accredited College or University, required. Project management certification a plus.
- 3-5 years of progressive responsibility in a service oriented organization that deals with a wide variety of constituents required. Must have documented and well-demonstrated CRM management experience, preferential for Blackbaud, project management experience and effective technical writing skills.
- Excellent project management skills, analytical reasoning, conceptual and interpersonal skills required.
- Required to pass a drug screen in compliance with our Substance Abuse and Drug-Free Workplace policy.
- Ability to travel as required. Must be able to meet requirements for Eckerd's Auto Insurance and be able to drive for business purposes up to 30% of the time.
