SUMMARY:

The Accounting/Billing Specialist will be primarily responsible for managing billing, invoicing, and accounting for a fast-paced entertainment insurance team in Austin, TX. The requirements listed below are representative of the knowledge, skill, and/or ability required.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Prepare and process client invoices and review for accuracy
  • Enter invoice data into Sagitta, and send all supporting documentation to the corporate accounting department
  • Prepare and generate regularly scheduled reports (Surplus Lines, AR, Production)
  • Coordinate all required documentation for surplus line compliance for non-admitted placements.
  • Follow up with account team members as necessary to complete necessary compliance documentation (e.g., declinations, affidavits)
  • Manage A/R and A/P process in partnership with Corporate Accounting and Account Teams. Serve as liaison between them to resolve errors and issues in a timely manner.
  • Liaise with company's finance teams to address and resolve accounting discrepancies
  • Scan and deposit checks

Other administrative duties may include but are not limited to:

  • Maintain inventory and order office supplies
  • Book travel arrangements
  • Submit expense reports for Managing Principal
  • Receive, sort and distribute mail

EDUCATION and/or EXPERIENCE:
  • 3 - 5 years accounting and billing experience (A/P and A/R)
  • Prior employment experience in legal, mortgage, insurance or financial services industry preferred
  • Experience with agency management software (preferably Sagitta and ImageRight)
  • Proficient with MS Word, Excel and Outlook
  • Strong analytical skills and knowledge of commercial insurance lines
  • Excellent communication skills with clients during the sales and/or service processes
  • Ability to multi-task and be well organized; prioritize multiple projects
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations. The position continually requires teamwork, responsiveness, demonstrated poise, tact, and diplomacy
