To support our extraordinary teams who build great products and contribute to our growth, we're looking to add a Sr. Receptionist to support our Corporate Headquarters based in Austin, TX.

Reporting to the Workplace Services Manager, the Sr. Receptionist is responsible for presenting a positive first impression of Flex to visitors and telephone callers. Hours are Monday-Friday 7am to 4:30pm.

Here's what a typical day looks like:

  • Receives and directs visitors, employment applicants, salespersons and customers to appropriate locations and parties.
  • Receive and correctly route incoming and outgoing telephone calls at a switchboard or multi-line phone and maintain long distance call logs.
  • Greet visitors and determine the nature of their visit; issue visitor passes and maintain visitor logs; alert appropriate party of visitor arrival or direct visitors to appropriate office, department or employee.
  • Ensure reception area is tidy.
  • Additional duties may include filing, sorting, mail distribution and completing special clerical projects.
  • May also perform miscellaneous administrative activities such as booking meeting rooms, typing, organizing and distributing mail, receiving and sending courier packages.
  • Coordinates and maintains calendar appointments & meetings and coordinates related arrangements.
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
  • Composes and may initiate routine or non-routine correspondence and memoranda.
  • Handles details of a highly confidential and critical nature.
  • Organizes and maintains file system, and files correspondence and other records.
  • Answers and screens  telephone calls, gives information to callers and arranges conference calls. May respond to inquiries about company products using a standard script and procedures.
  • Greets scheduled visitors and guides to appropriate area or person.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities and records
  • Makes copies of correspondence or other printed materials. May also maintain key distribution and contact lists.
  • Operates a personal computer and uses appropriate software packages as needed.
  • Prepares outgoing mail and correspondence, including e-mail and faxes.
  • Orders and maintains supplies and required operational materials and gear, and arranges for equipment maintenance.
  • Notary responsibilities - Flex will provide support to obtain certification
  • Creates weekly reception & security document and monthly office newsletter

Here's some of what we're looking to add to the team:

  • 3 years of experience in a similar position

  • Strong written and verbal communication skills.

  • Work with corporate, regional and site HR, security, custodial, IT and facility teams to improve the efficiency of the corporate lobby.

  • Requires competency in Microsoft Office Suite, Box and Workday

  • Requires competency in managing multiple competing Outlook calendars.

  • Willingness to obtain notary certification through Flex
