Description
The Administrative Assistant is experienced in handling a wide range of administrative support related tasks and is able to work independently with little or no supervision. They must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a large office of diverse people and programs. They possess the ability to organize a complex business calendar, handle communication in and out of the office, and other related duties as needed. The Administrative Assistant interacts well with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient. The Administrative Assistant maintains a high level of professionalism and confidentiality as is crucial to this role. They possess expert level written and verbal communication skills, strong decision-making ability and keen attention to detail.
Duties and Responsibilities
- Exhibit excellent customer service with internal and external customers
- Perform administrative duties, including preparing agendas, distributing mail, coordinating and arranging meetings
- Answer phones and direct all incoming calls to appropriate party promptly and efficiently
- Assist Area Manager II and I with preparation of presentation materials
- Research, coordinate, and finalize complex assignments
- Exercise independent judgment with respect to routine problems
- Prepare documents and materials using Microsoft Word, Excel, and PowerPoint
- Maintain confidentiality of information related to the work of the department
- Work to coordinate with other Distribution Center administrative assistants
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
- Assist with Excel based reports
- Process and code vendor invoices for approval
- Maintenance of regulatory filings and calendar to ensure all deadlines are met
- Special projects as assigned
- Other duties as assigned

Requirements
Education and Experience
Education Requirements
- High School Diploma or GED equivalent required
Years of Experience
- 2+ years' experience supporting in an administrative role
Skills
- Excellent calendar management skills
- Strong knowledge of MS Office, including Word, Excel, Visio, PowerPoint and Outlook
- Ability to work in a team environment
- Ability to maintain excellent attendance standards and follow company policy
- Ability to maintain a positive attitude and self-motivate in a fast paced, demanding environment
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume
- Ability to apply concepts of basic algebra and geometry
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

General office environment requiring ability to:
- Stand, walk, sit for extended periods of time.
- Speak and listen to others in person and over the phone and video conferencing.
- Use keyboard and read from computer screen and reports.
- The ability to lift up to 15 lbs.
