Job Summary This position is responsible for coordinating and assisting with the Corporate Real Estate portfolio including generating reports, leasing documentation, temporary housing program, and monthly rental lease obligations. Assist in the management of the Records Retention policy and procedures related to Corporate Real Estate division.

Job Responsibilities:   

  • Assist in managing all aspects of the centralized real estate portfolio management system, documentation and historical records for all HCSC properties leased and owned, estoppels, SNDA's subleases, licensing agreements, subsidiaries, and tenant / retail leases in all states.
  • Coordinate dissemination of information on an ongoing basis to CRE management team, regarding lease reporting, lease abstracting, monthly tracking of expirations and options.
  • Assist in the ongoing development and implementation of RIM (Records & Information Management) policies and procedures, within Corp Real Estate, to support the objectives of the RIM Program.  Assist in developing training schedules(s) for custodians within the department.  Oversees the Auditable Records Program, tracking and maintenance of auditable records for internal & external audits.
  • Maintain annual site insurance requirement data within the CRE Lease database and communicate changing portfolio inventory to Risk Management in a timely manner.
  • Perform & administer non 300 E. Randolph landlord lease obligations for any subtenants, or tenants managed by HCSC, including: accounting/tracking of received rental payments, tenant invoicing, tenant relationships and maintaining and reporting requirements as needed.
  • Assist and provides contingency support functions related to HCSC's tenant lease obligations for each property enterprise wide, relating to the payments of monthly rental obligations, including working with Accounts Payable to ensure timely disbursement of EFT's and other payment forms.
  • Assist in managing established and developing new CRE written office policies and procedures for review and maintenance on the CRE secured website on an ongoing basis. 
  • Process invoices for outside Real Estate Legal Services.
  • Assist in the coordination of activities related to the Corporate Temporary Housing Policy/Program for HCSC personnel on temporary assignment, including apartment information gathering, selection, assist with lease review and the monitoring, processing and EOI approval of apartment leases within corporate guidelines.
  • Assist in the coordination of real estate tax payments and protestations.
  • Assist in the gathering of benchmarking information for ongoing studies related to industry standards.
  • Provide support to CRE Management in managing special projects as necessary.
  • Acts as Divisional Privacy Coordinator
  • Assists with the contracts management.

Required Job Qualifications:   

  • Bachelor's Degree OR 4 years related experience.
  • 1 year experience in Real Estate or Facilities.
  • Clear and concise verbal and written communication skills.
  • PC proficiency to include Word, Excel, PowerPoint
