Position Description: Administrative Assistant
The role of the Administration Assistant is to help support the Hub leadership and operations run as smoothly as possible by owning and maintaining various administrative processes. This role requires constant communication with our leadership, teams, and customers alike, so enjoying and being able to multi-task while getting projects completed will be necessary.
Specific Duties:
Provide support and assistance with timekeeping verification, jobsite documentation, and other support functions to ensure efficiency and effectiveness for the Hub.
Assist with acquiring, preparing, filing, and maintaining various documentation including, but not limited to, permits, tags, state decals, etc.
Track and maintain appropriate levels of inventory including office supplies and field project needs, partnering closely with Hub leadership to ensure accuracy.
Partner with HR to assist with the onboarding of all new hires which includes paperwork completion, receiving safety equipment, uniforms, etc.
Partner with uniform provider to ensure upkeep and proper invoicing of all team member uniforms at the Hub.
Act as a primary point of contact to customers and team members alike, answering questions through calls or emails accurately, professionally, and promptly. Directing messages or follow up requests to appropriate leadership efficiently.
Assist with the scheduling and maintenance of various certifications and licenses maintained by the Hub.
Assist with Accounts Receivable transactions for the Hub, partnering with Home Office Accounting teams.
Collect and submit receipts and invoices, itemizing receipts, auditing submissions, bill collection, approval, & payment, etc.
Maintain confidential and important files in an organized and efficient manner.
Various other office duties, as requested by leadership.
Requirements:
Previous experience in a support role with various administrative functions, preferred.
High comfortability with processing a large volume of paperwork with a high degree of accuracy.
Quality-minded and detail-oriented with high comfortability in Outlook and Microsoft Office.
Well organized with a positive, professional, and customer-centric attitude. Both reliable and dependable, as day-to-day office support will be crucial.
Excellent communication skills, both written and orally; must be able to be assertive and still remain professional and helpful.
Must be flexible, able to handle stress with composure and as a team player.
Ability to work with a high level of confidentiality.
Professional demeanor and appearance.
Able to comply with all company policies and procedures.
Cooperative and collaborative, willing and eager to work in a team environment and assist with miscellaneous duties, as requested.
