Job Summary:
The Student Affairs Coordinator supports program planning, evaluation, data management, project and event coordination for Student Signature Events, and policy/operations development for the office of Student Engagement (OSE) and Office of Student Affairs (OSA). Additionally, the student affairs coordinator is responsible for supporting the operations, development, and evaluation of student support services, organizing key student events, data organization and analysis, and contributes to student communication efforts. They will also serve as a member of the student engagement team with responsibilities in staffing student events, managing purchasing for student professional development, and coordinating policy/operations development for the Office of Student Engagement.

Essential Responsibilities:


  • Conducts program evaluation and data analytics coordination within the Offices of Student Affairs and Engagement.

  • Collaboratively develops and implements a strategy and process for evaluating all student support services in the Office of Student Affairs.

  • Develop and operationalize policy and procedures for the Office of Student Engagement.

  • Coordinates the project management and logistical planning for KPSOM Signature Student Events such as Welcome Event, White Coat Ceremony, Match Day, and Prom.

  • Supports communication with vendors, campus partners, event attendees, and campus communities.

  • Supports the operations and data management for the Learning Environment Monitoring Team and maintains confidentiality to sensitive information.

  • Coordinates the purchasing of event materials for Signature Student Events.

  • Coordinates the purchasing and travel arrangements for the Student Professional Development Funding program.

  • Supports the planning and staffing of Student Programming planned by the Office of Student Engagement.

  • Assists with the management of OSA/OSE promotional materials including but not limited to external websites, internal SharePoint pages, social media, and email communication.

  • Supports the functions of the Office of Student Engagement.

  • Regularly collaborates with internal partners such as the Dean's Office, Offices of Academic and Faculty Affairs, Community Engagement, Medical Education, Equity, Inclusion, and Diversity, Information and Technology, Facilities, Procurement, Human Resources, Sim Center and Marketing and Communications to coordinate, implement, and evaluate student centered co and extracurricular programming.

  • Supports the management of the internal OSA media database, which includes photos and videos from signature events, photoshoots, and student programming. Identifies media to utilize for student/OSE print and digital initiatives, including the management of the OSA Events page to highlight KPSOM student events to the school community.

  • Ability to work outside of traditional 8-5 hours to accommodate student availability for meetings and events.

  • Other related administrative functions, projects, duties, and responsibilities may be assigned as deemed necessary.


Basic Qualifications:
Experience

  • Minimum five (5) years of work experience with higher, professional, or medical education in student affairs, program evaluation, policy development and event planning.


Education

  • Bachelors degree.


License, Certification, Registration

  • N/A

  • Ability to manage multiple projects concurrently.

  • Ability and willingness to work flexible hours to support activities of the office, including some evenings and weekends.

  • Ability to establish and meet short term, mid-range and long-range goals and objectives.

  • Ability to work effectively with a diverse population of students, faculty, staff, and external constituents.

  • Excellent communications (oral and written) skills

  • Excellent interpersonal skills necessary for working with a diverse organization and for creating influence with individuals at all levels of the organization

  • Proficiency with common office software (e.g. Word and Excel)



Preferred Qualifications:

  • Preferred Masters degree in student affairs, college student counseling, higher education administration, social work, program evaluation.

  • Demonstrated experience working in a School of Medicine student affairs office.
