Description

The Supervisor of Volunteer Services administers and oversees the daily operations of volunteer programs across Keck Medical Center of USC. The role assists with recruitment, onboarding, training, and placement processes; ensures adherence to institutional policies and documentation requirements; and evaluates program utilization and effectiveness. The Supervisor collaborates with hospital leadership and external partners to develop and expand volunteer initiatives and provides supervision to assigned program staff in support of daily departmental operations.

Essential Duties:

  • Planning and Organization – Provides oversight of the volunteer workforce lifecycle, including recruitment, selection, onboarding, placement, performance management, and retention strategies across Keck Medical Center departments and affiliated clinical sites. Develops and implements program standards, placement criteria, and scalable operational workflows aligned with organizational staffing models, patient experience initiatives, and institutional priorities. Maintains volunteer personnel records including required clearances and documentation. Oversees application review and structured selection processes for high-volume volunteer and youth programs, including competitive seasonal cohorts. Leads long-term program planning to expand volunteer integration across clinical and administrative services and ensure sustainable workforce support.
  • Communication Partners with clinical and administrative leadership to assess workforce gaps and strategically deploy volunteer resources to enhance operational efficiency and patient-centered care delivery. Provides guidance to staff regarding appropriate volunteer utilization in accordance with hospital policies and safety standards. Serves as the primary liaison between hospital departments, university partners, and external educational institutions.
  • Compliance and Risk Oversight - Verifies completion of onboarding requirements including health clearance, background screening, confidentiality agreements, and required training prior to volunteer participation. Maintains program documentation to ensure compliance with institutional policies and regulatory requirements, including programs involving minor participants. Monitors adherence to program policies and addresses compliance concerns as needed. Collaborates with Human Resources, Legal, and Risk Management to mitigate organizational liability and ensure compliance with healthcare regulatory standards.
  • Empowerment –Supports procedures and operational standards to ensure the integrity and consistency of the volunteer program. Provides departments with guidance on appropriate volunteer utilization and supports staff in effectively integrating volunteers into workflows Drives a culture of accountability and service excellence through structured performance management, recognition programs, and continuous engagement strategies.
  • Education and Training – Designs and oversees comprehensive training frameworks, orientation programs, and ongoing professional development initiatives to ensure volunteer competency, safety compliance, and service excellence. Educates volunteers and departmental staff on program expectations, safety procedures, and documentation requirements.
  • Investigation and Management Leads investigations into program-related concerns, policy violations, and conduct matters, implementing corrective action plans in collaboration with departmental leadership. Applies established policies and procedures to resolve issues and ensure appropriate conduct and adherence to hospital standards.
  • Quality and Outcomes – Works with the Volunteer Services leaders to develop and monitor volunteer workforce utilization, engagement, program effectiveness, and contribution to patient experience outcomes. Prepares monthly and annual reports for leadership review. Evaluates program effectiveness and implements improvements to support operational goals and patient experience initiatives.
  • Leadership and Supervision - Provides direct supervision to assigned program staff and student assistants to coordinate daily operations and workflow. Assists with onboarding and training of personnel involved in volunteer program operations. Supports program growth and expansion initiatives across departments and partner sites.
  • Performs other duties as assigned.

Required Qualifications:

  • Req Bachelor's Degree in a related field.
  • Req 2 years Experience as Volunteer Services Supervisor or a related role
  • Req Demonstrates excellent verbal and written communication skills.
  • Req Strong organization skills.
  • Req Computer literacy in word processing, spreadsheets, and PowerPoint.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
