Join our Kelly team in a hybrid role based in Budapest, Hungary!


The Administrative assistant is accountable for: 

• Assist with the coordination of administrative functions to support the department's operations.
• Follow administrative policies and procedures and improve workflow efficiency.
• Maintain and update filing systems to ensure accurate and organized information management.
• Prepare reports, presentations, and other documentation as requested by senior management.
• Interact with external vendors and service providers to handle contract negotiations and verify adherence to organizational standards.
• Assist in coordinating communication and collaboration between departments to ensure smooth workflow and team cohesion.

Financial Administration:

  • Assistance of Company's accounting service provider by providing information of missing invoices (received from suppliers and colleagues) 
  • Idetifying invoice processing route based on nature of expenses (through payroll or to accounting)
  • Upload invoices for payment and provide and file necessary documentation
  • Keeping internal cost center structure updated
  • Managing and organizing physical paperwork in the office, keepeing company legal documents, supplier contracts, banking documentation, financial statement and other records (printing, scanning, filing, and handling physical documentation)
  • Employee expense administration
  • Keep contact with regional finance

General Administration:

  • Provide administrative support to the Managing Director
  • Arrange mailing, letters, packages in the office
  • Coordinate office activities, track stocks of office supplies and place orders when necessary
  • Keep contact with the office space vendor andassistcolleagues in office related matters 


Essential Skills, Knowledge, and Experience:

  • Experience with administrative work.
  • Proficient language skills both in English and Hungarian.
  • Strong communication skills; Maintain open and clear communication with team members and external contacts. Facilitate effective communication channels within the office.
  • Ability to use video conferencing tools (e.g.,Zoom, Microsoft Teams) to facilitate virtual meetings and collaborations.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) for document creation, data management, and presentation development.
  • Problem-solving abilities to address administrative challenges and find efficient solutions.
  • Attention to Detail; Execute tasks with precision, ensuring accuracy in data entry, document preparation, and record-keeping.


Additional Requirements:

  • This position is a part-time role:20 hours per week(open forfewer hours per week, with a minimum of 16 hours per week).
  • Must be able to work in the office 2 days per week: in Budapest, Hungary
