Job Title: Part-Time Accounts Payable Specialist (On-Site)
Location: Menasha, WI
Schedule: Approx. 20 hours/week (Monday-Friday, 8am–5pm; overtime possible with approval)
Job Overview:
We are seeking a detail-oriented, reliable Accounts Payable Specialist to join our team in Menasha. This is an on-site, part-time position ideal for someone with strong accounting experience who is comfortable in a fast-paced environment.
Key Responsibilities:
- Focus on accounts payable processes, including:
- Creating and maintaining vendor records, payment terms, W-9 forms, and subcontractor Certificates of Insurance
- Entering vendor/supplier invoices and credit card receipts into accounting systems
- Communicating with vendors regarding discrepancies or to request invoices/statements
- Preparing weekly Cash Requirements reports and submitting invoices to the Controller for payment
- Reconciling vendor statements monthly, typically by the 10th of the month
- Reconciling credit card statements and making payments before due dates
- Assist the Controller with daily administrative and accounting tasks as requested
- Utilize ServiceTitan and Sage Intacct software to accurately record transactions
Qualifications and Skills:
- Proven experience in accounts payable or general accounting
- Proficiency in accounting software, particularly ServiceTitan and Sage systems
- Strong organizational skills and willingness to learn and contribute new ideas
- Punctual, reliable, and open to working additional hours or tasks as needed
- Ability to stay focused and productive in a fast-paced work environment
- Demonstrates attention to detail, meets deadlines, and completes assigned work independently
- Proficiency with Microsoft Excel, Word, and Outlook
- Effective communicator and positive team player
- Some post-college education along with relevant accounting experience required
