Administrative Assistant/Legal Secretary

  • Pay Rate: $22.00 - $27.00 per hour DOE
  • Schedule: 4-day work week, 20-25 hours per week
  • Type: Part Time, Temp to Hire
  • Location: Albany, NY
Summary: We are seeking a detail-oriented and proactive administrative assistant to support our legal team in a fast-paced environment within the Estate Department at our Albany office.
Qualifications:
  • Proficiency in Microsoft Word, Excel, and Outlook with the ability to quickly learn other applications.
  • Excellent typing skills, with recommended typing speed of 60 words per minute.
  • Strong skills in formatting business correspondence, spelling, punctuation, grammar, proofreading, and other English language skills.
  • Ability to work cohesively in a legal administrative team and provide backup support for other attorneys as needed.
  • Outstanding organizational skills and multitasking ability in a fast-paced work environment.
  • Minimum of 2 years of experience in the legal field or other professional office setting.
  • Ability to remain stationary at a desk, move about the office for document delivery or pickup, and lift items such as files up to 20 pounds.
  • Must be able to commute to and work on-site in the Albany office; this is not a remote position.
Responsibilities:
  • Preparation of legal documents, correspondence, reports, minutes, and charts.
  • Real estate document preparation, post-closing, and title backup work.
  • Transcription from recorded digital dictation.
  • Manage attorneys' calendars and incoming phone calls; maintain attorney files.
  • Post attorney time in billing software system and monitor billing on files.
  • Organize committee meetings, file creation, and file purging in preparation for records storage.
  • Extensive phone and personal contact with clients.
  • Provide administrative support to the Real Estate Department Manager and handle various projects as needed.
