Administrative Assistant
About the Role
We're looking for a detail-oriented professional to support the Operations team with day-to-day accounting and administrative tasks. If you enjoy working with numbers, payment systems, and helping keep things running smoothly behind the scenes, this role is a strong fit.
Pay: $23.50/hr | Schedule: 8:00 AM – 5:00 PM | Duration: 12-month contract
Work Arrangement: 100% onsite
What You'll Do

Support the Operations department with operational accounting and administrative tasks.

Perform daily and monthly payment requests of state fees in QuickBooks.

Match and pay client/partner invoices in designated payment systems.

Apply wire, ACH, check, and credit card payments to the correct invoices and systems.

Assist with billing, credit card matching, reporting, accounts receivable, payment research, and spreadsheet data entry.

Monitor and manage the Accounting distribution mailbox and respond promptly to inquiries.

Partner with Operations to identify errors or deficiencies and communicate them clearly.

Assist the Operations Manager with daily operational functions and help establish or improve control processes when needed

What We're Looking For

High school diploma or equivalent; additional education in Accounting, Finance, or Business is a plus.

Experience in accounting, billing, accounts receivable, or operations support is preferred.

Familiarity with QuickBooks and payment systems is a plus.

Comfortable working with spreadsheets and handling numerical data accurately.

Strong attention to detail, organization, and follow-through.

Clear communication skills and a collaborative mindset.

Ability to work full-time onsite in an office environment.
