What's a typical day as an Administrative Assistant? You will:
  • Switchboard & Communication Duties
  • Operate communication systems to answer, direct, and transfer incoming calls to the correct departments or individuals.
  • Manage visitor check-ins and perform general administrative tasks such as taking messages, providing information, and maintaining records.
  • Handle emergency calls, monitor alarms, and manage paging systems.
  • Sort mail and provide basic customer service.
  • Perform additional receptionist functions as needed, depending on the organization.
  • Scheduling & Coordination:
  • Locate specialized doctors near the claimant's location to complete exams requested by the Disability Evaluator.
  • Schedule consultative examinations (CE), including follow-up calls to claimants.
  • Print, assemble, and mail CE packets to claimants, and send CE paperwork to doctors via fax if necessary.
  • Claimant & Vendor Support:
  • Respond to inquiries from claimants, vendors, and other sources regarding claim status or transportation assistance (e.g., mailing bus passes to claimants).
  • Contact claimants to inform them of upcoming appointments or pending paperwork.
  • Contact doctors for follow-up reports or specific instructions, and hospitals for authorizations and reports.
  • Communicate with claimants' attorneys to provide basic status updates.
  • Case Development & Tracking:
  • Assist claim adjudicators by contacting claimants, attorney representatives, medical sources, and other stakeholders as directed by the supervisor.
  • Ensure daily assignments are disseminated and completed using a tracking system.
  • Conduct case development activities that require analysis and judgment.


This job might be an outstanding fit if you have:

  • Customer Service: Experience providing high-quality service to both internal and external stakeholders
  • Scheduling / Front Desk Experience: Background in appointment scheduling, receptionist duties, or front desk administrative support.
  • Computer Skills: Proficiency in common office software (e.g., Microsoft Office Suite, email systems, scheduling tools).
  • Bilingual: Ability to communicate effectively in English and Spanish is preferred.
