Description

The Clubhouse Operations Coordinator is responsible for organizing and coordinating Clubhouse operations, activities, services, procedures, and resources to ensure departmental effectiveness and efficiency. They will oversee office staff and assist with various tasks such as customer registrations, answering phone calls, providing information and assistance, maintaining records, and ensuring a clean and safe environment.

Essential Functions & Basic Duties:
1. Oversee office staff and assist with customer registrations, room reservations, and inquiries.
2. Answer multi-line phone calls and provide information and assistance to customers.
3. Provide direct assistance to customers, including copying, faxing, and room temperature control.
4. Maintain records of pool/locker pass purchases and assist with pool-related tasks.
5. Coordinate with the Building Manager and other staff for event setup and breakdown needs.
6. Maintain organization of electronic files and physical spaces within the Clubhouse.
7. Monitor and coordinate daily Clubhouse activities, including exercise classes and aquatic programs.
8. Create billing and credit card reports for clubs and organizations.
9. Monitor inventory of equipment and supplies, ensuring proper maintenance and availability.
10. Conduct safety and maintenance checks of Clubhouse spaces and equipment.
11. Collaborate with other departments to select and implement software solutions.
12. Perform walkthroughs to monitor cleanliness and appearance of the Clubhouse.
13. Develop knowledge of community operations and maintain working relationships with staff and residents.

Qualifications:
- Associate or bachelor's degree preferred
- 6 months of related experience in facilities oversight or a related field
- Proficiency in Microsoft Office Suite, particularly MS Word and Excel
- Working knowledge of data management systems and administrative procedures
- Strong communication, organizational, and customer service skills
- Ability to prioritize tasks and work effectively in a fast-paced environment
- Basic audio/video experience and knowledge of recreation software is a plus

Schedule: Mon-Fri 8:30am-5pm
Pay rate: $21 an hour with weekly pay
