Job Title: Administrative Specialist Position Summary As an Administrative Specialist you will provide expert administrative support to leaders and teams, ensuring smooth and efficient operations in a dynamic, fast-paced environment. Leveraging your discretion, organizational prowess, and proactive approach, you will manage multiple priorities, foster effective communication, and serve as a trusted resource for confidential and sensitive matters. This role may include supervising other administrative staff and supporting major projects, special events, and organizational initiatives. Key Responsibilities
- Provide high-level, proactive administrative support to leadership and teams, exercising independent judgment and discretion in managing workload and priorities.
- Independently coordinate complex calendars, schedule meetings and events, book conference rooms, and manage guest/visitor logistics.
- Organize and deliver department or group events and special projects, ensuring successful execution from planning to completion.
- Prepare meeting agendas, take notes, and summarize key information and action items for stakeholders.
- Serve as the administrative point of contact, rapidly building rapport with internal and external partners.
- Facilitate open channels for clear, concise communication, ensuring information is effectively distributed and understood across the organization.
- Manage confidential information with the utmost discretion, adhering to Dow standards and Code of Business Conduct.
- Supervise, coach, and mentor other administrative employees as needed, promoting a collaborative and inclusive team environment.
- Arrange complex domestic and international travel and itineraries, accounting for time zone and cultural considerations.
- Demonstrate advanced proficiency in business software and collaboration tools (e.g., Microsoft Office Suite, Dow Systems), staying current and providing training or troubleshooting as necessary.
- Handle TER reporting and approvals, review compliance with company policies, and inform teams of discrepancies.
- Act as a safety advocate within the team or facility, promoting Dow's safety behaviors and sometimes serving as safety warden or contact.
- Effectively manage changing priorities, adapting quickly to new needs and proactively anticipating challenges.
- Network with other administrative professionals to share best practices and drive continuous improvement.
- Foster trust, partnerships, and positive relationships within and between teams to support organizational goals.
- Lead with integrity, consistently modeling exceptional work ethic and motivating others.
- Strive to simplify processes, seek feedback, and go beyond expectations to contribute to organizational success.
