Job Summary:
The Payroll Specialist is responsible for the accurate and timely processing of the organization's payroll. This role ensures compliance with federal, state, and local regulations, along with maintaining payroll records and resolving payroll-related issues. The Payroll Specialist works closely with HR and Finance teams to support employee compensation, benefits administration, and reporting.
Key Responsibilities:
- Process bi-weekly, semi-monthly, or monthly payroll for all employees, ensuring accuracy and compliance.
- Maintain payroll records and update employee information in the payroll system.
- Verify timesheets, work hours, and wage calculations.
- Respond to employee inquiries regarding payroll, deductions, and benefits.
- Handle payroll tax calculations and remittances, including federal, state, and local taxes.
- Prepare and submit government reports related to payroll, such as W-2s, 1099s, and other compliance forms.
- Ensure adherence to company policies and relevant laws (FLSA, state labor laws, etc.).
- Coordinate with HR regarding new hires, terminations, and employee changes impacting payroll.
- Assist with audits and generate payroll reports for management as needed.
- Troubleshoot and resolve payroll discrepancies and errors.
- Maintain confidentiality of payroll information.
Qualifications:
- Associate or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
- 2+ years of payroll processing experience, ideally with a mid-to-large size company.
- Strong knowledge of payroll practices and laws.
- Proficiency in payroll software (e.g., ADP, Paychex, QuickBooks Payroll, etc.) and MS Excel.
- Excellent attention to detail and analytical skills.
- Strong communication and organizational abilities.
- Ability to meet deadlines and manage multiple tasks in a fast-paced environment.
- Experience working with confidential information.
Preferred Qualifications:
- Payroll certification (e.g., FPC, CPP) is a plus.
- Experience in benefits administration.
- Prior experience in HR or finance support roles.
