The Customer Documentation Specialist is responsible for managing and maintaining the company's documentation processes, including customer-facing documents, audit materials, and internal records. This role requires strong organizational skills, meticulous attention to detail, and experience with document management systems. The position reports to the Head of Sales, North America.
PRINCIPAL DUTIES AND RESPONSIBILITIES-
Create, update, and manage customer product documentation for customizations, new developments, and existing products, including preliminary and final versions.

Develop and maintain document control processes such as version control, tracking, distribution, and archival.

Manage document access rights and restrict distribution as needed.

Organize and maintain systems for document storage and retrieval, including labeling, sorting, and categorizing.

Establish and enforce record retention schedules in compliance with company policies.

Draft, review, edit, and format templates and documentation to ensure clarity and consistency.

Provide support to the Global Sales team by addressing technical, quality, and legal product-related inquiries.

Adhere to relevant procedures and standards established by Quality Systems, including ISO, HACCP, and GMP.

Collaborate and provide support to Business Support Specialists, Sales Account Managers, QA/QC Technicians, and other internal teams as required.

Bachelor's degree preferred, or 1-2 years of equivalent experience.

Fluent in English (reading, writing, and speaking); additional language skills are a plus.

Proficient in Microsoft Office applications, SAP, and TraceGains or similar document management systems.

Excellent interpersonal and communication skills, with the ability to ask insightful questions and identify customer needs.

Effective team player with strong collaboration skills.

Experience or mindset aligned with lean process improvement.

Adaptable and flexible in a changing work environment.

Knowledge of the food industry is advantageous.
The role is primarily office-based in a comfortable work environment with appropriate lighting, temperature, and noise levels. The position involves mostly sedentary work but may require standing or walking up to 10% of the time. Occasional on-call duties may be necessary.
PHYSICAL DEMANDSThe employee will frequently talk, hear, use hands to handle objects and keyboard. Occasionally, lifting up to 10 lbs may be required. The role may also involve stooping, kneeling, crouching, or crawling. Vision requirements include close vision, depth perception, and the ability to adjust focus.
