Kelly Services is seeking an experienced Executive Admin in Westmont, IL.Candidates must have 2+ years in an Exec Admin role and have calendar/travel management experience. Concur is highly preferred.

This is a contract opportunity, lasting 3-4 months, covering for a medical leave.

Summary
The Executive Assistant provides support to the 3 senior leaders and independently manages multiple tasks and projects with competing priorities and deadlines in a fast-paced, professional environment. This highly visible position serves as the primary interface between the company and the public and is responsible for creating a positive, friendly, courteous interaction with customers, visitors, and employees. The Executive Assistance is also responsible for all aspects of travel with various levels of internal management and staff, as well as external constituents.

Responsibilities:

  • This role will support 3 senior leaders – not the entire leadership team.
  • 3-5 years of administrative experience or 2+ years in and EA role.
  • Must have calendar management experience.
  • Experience with travel booking platform, Concur is highly preferred.
  • Manage and maintain calendars for executives including efficient coordination of meetings utilizing Microsoft Outlook and Teams, prioritizing meetings ensuring calendars are free of double bookings.
  • Function as the main receptionist for both local offices by operating a multi-line telephone system to answer incoming calls and direct callers to appropriate personnel.
  • Responsible for visitor control in both locations, mail systems (receive and distribute mail/packages) and provide general administrative support as assigned.
  • Organize and/or assist in organization of all local events/meetings.
  • Function as office manager, and organize, manage, and order office & kitchen supplies as needed.
  • Serve as main point of contact with Oakbrook Terrace building management office and safety committee.
  • Manages documents that are highly confidential and must act with high diligence and operate with integrity.
  • Prepares routine and advanced correspondence including emails, letters, memoranda, and reports.
  • Screens and prioritizes communications and inquiries from external and internal sources
  • Interacts and supports staff of all levels in multiple locations. Must be proactive, resourceful, efficient and operate with a high level of professionalism.
  • Responsible for communications support as needed both internally and externally.
  • Complete expense reports for executives and other general administrative tasks as assigned.

Requirements:
  • Associate's degree in business, secretarial science, or related discipline.
  • Two (2) years' experience in a clerical position or the equivalent combination of experience and education deemed necessary to perform the core responsibilities of the role.
  • Must have 2+ years in an Exec Admin role and have calendar/travel management experience. Concur is highly preferred.
