Bilingual (Japanese) Executive Assistant

Decatur, AL

Onsite – 5 days a week

Seeking a Bilingual (Japanese) Executive Assistant to provide high-level administrative and confidential support to the Executive Vice President and General Manager. This role requires exceptional organizational skills, bilingual proficiency in Japanese and English, and the ability to facilitate communication between executives and Toray Japan staff.

 

Responsibilities:

  • Manage calendars, schedule meetings, coordinate appointments, and arrange visitor logistics for the EVP and GM.
  • Organize domestic and international travel arrangements, including housing needs, and provide interpretation services as needed.
  • Serve as a liaison between Headquarters and U.S. executives, ensuring timely review and response to proposals, correspondence, and documentation.
  • Track business expenses and prepare reports using Concur System.
  • Maintain confidential files and records.
  • Provide Japanese English translation for internal and external communications.
  • Support company events, VIP visits, and Corporate Social Responsibility activities.
  • Assist with implementing and managing the Visitor Management System at the Decatur Plant.

 

Qualifications & Skills:

  • Fluent in Japanese and English (both written and verbal).
  • High school diploma or GED required, Bachelor's degree in Business Administration or a related field preferred.
  • 3+ years of executive administrative support experience or equivalent.
  • Experience working in a multinational environment preferred.
  • Strong administrative and organizational skills with attention to detail.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel) and Japanese word processing software (preferred).
  • Experience with business travel coordination and expense reporting (Concur preferred).
  • Ability to handle sensitive information with discretion.
  • Strong interpersonal skills and ability to work under pressure.
  • Familiarity with Japanese business culture and customs is a plus.
