Description

Employment: 3 to 6 months with a possibility of being permament to the State of AZ.  

Shift: Day Shift | Monday to Friday | 8AM to 5PM | Oniste 

Pay Rate: $34.84/hr 

 

Summary of Responsibilities:  

The Administrative Support Specialist II provides essential front desk and administrative support to ensure smooth daily operations and exceptional customer service. This role serves as the first point of contact for visitors, customers, and vendors, manages shared inbox communications, processes incoming and outgoing mail, and handles sensitive legal documentation. 

Responsibilities:  

  • Serve as the primary front desk contact, greeting and screening visitors, customers, and external vendors 

  • Monitor and respond to departmental requests through a shared inbox, ensuring timely follow-up 

  • Answer internal and external phone calls, manage voicemail messages daily, and resolve inquiries or complaints professionally 

  • Coordinate warrant distribution processes and accept legal documents, including garnishments and service of legal process 

  • Receive, sort, scan, and distribute incoming mail and packages, including confidential documents and ACH applications 

  • Prepare and track outgoing mail and correspondence, maintaining daily logs of inbound and outbound items 

  • Provide administrative support to staff and management, including backup assistance on administrative projects 

  • Support business operations by following standard front desk procedures to ensure consistency and efficiency 

  • Maintain professionalism, confidentiality, and accuracy in all customer-facing and administrative tasks 

Must-haves:  

  • 2–3 years of client-facing or front desk administrative experience 

  • Strong customer service and professional communication skills (phone, email, in person) 

  • Experience managing shared inboxes, phone messages, and administrative workflows 

  • Ability to handle confidential and legal documents with accuracy and discretion 

  • Reliable attendance and dependable transportation 

  • Availability for a virtual interview within 2 days 

  • Ability to work 100% onsite 

Skills Desired/Preferred:  

  • Experience in government, legal, or public-sector administrative environments 

  • Familiarity with mail distribution, warrant processing, or document tracking systems 

  • Experience supporting multiple departments or high-volume front desk operations 

  • Strong organizational and time-management skills 

  • Interest in transitioning to a full-time employee (FTE) role
