Kelly Services is seeking an Invoicing / Accounts Receivable Specialist for a busy Landscaping company!

Location: Orlando, FL 32808
Salary: $20-$22 per hour (based on Experience)
Mon-Friday- 8am-5pm
Temp to hire
Start Date- Monday April 14th 

Job Description:

We are seeking a detailed-oriented Invoicing / Accounts Receivable Specialist to join our dynamic team. The ideal candidate will be responsible for handling monthly maintenance invoicing, accounts receivable, contract management, and providing support to various departments within our organization.

Key Responsibilities:

Invoicing / Accounts Receivable:

  • Create monthly maintenance invoices in Aspire.
    • Generate invoices monthly.
    • Pro-rate new and cancelling client invoices.
    • Process credit card payments for auto-pay customers.
  • Manage accounts receivable:
    • Email clients weekly.
    • Call clients after 30 days of non-payment.
    • Prepare letters and handle cancellations after 90 days of non-payment.

Contracts:

  • Renew monthly expiring contracts.
  • Cancel and deactivate contracts as needed.
  • Perform ASPIRE clean-up of contracts monthly and work tickets weekly.

Accounting (Support Controller):

  • Enter vendor invoices timely, ensuring each is costed to the appropriate job in ASPIRE.
  • Match credit card receipts to QuickBooks charges as received.
  • Manage vendor relationships:
    • Set up vendors in ASPIRE & QuickBooks.
    • Ensure all new vendors complete vendor packets and update annually.
  • Enter all customer credit memos on a monthly basis.
  • Handle sub-contractor documentation per vendor packet guidelines.

Purchasing (Support Purchasing Manager):

  • Reconcile purchase receipts monthly.
  • Enter job costs in ASPIRE on a daily basis.

Office Support:

  • Manage and order office and safety supplies.
  • Oversee office services including plumbing, electrical, AC, painting, etc.
  • Handle office cleaning and organization.
  • Receive and sign for office-related deliveries.
  • Monitor Mackenzie/Contact/AR/AP email accounts.

Human Resources (Support HR Manager):

  • Process payroll and casual labor checks in the absence of the controller.
  • Organize monthly company meetings, including birthdays, anniversaries, and catering.
  • Manage workers compensation claims if the controller is absent.
  • Order uniforms according to company SOP.

Qualifications:

  • 3+ years experience in invoicing and accounts receivable.
  • Proficiency with ASPIRE and QuickBooks.
  • Strong organizational and multitasking skills.
  • Excellent communication skills.
