Purchasing Administrator
Oklahoma City, OK 
6 month + Contract assignment 
Hourly range: 30hr- 35hr
Must work without sponsorship 

 Purchasing Administrator

  • Will play a key role in supporting the procurement and supply chain team.
  • This role focuses on managing administrative and tactical purchasing activities to ensure timely and accurate processing of purchase orders, maintaining ERP data integrity, and assisting with supplier communications.
  • The ideal candidate will have strong organizational skills, attention to detail, and experience in an ERP-driven environment within an HVAC or manufacturing-related industry.
Key Responsibilities
  • Purchase Order Management: Create, update, and maintain purchase orders within the ERP system. Verify accuracy of pricing, quantities, and delivery dates. Track order confirmations and update changes in the system promptly. Supplier Coordination: Communicate with suppliers regarding lead times, order status, and any necessary adjustments.
  • Follow up on late shipments or discrepancies to ensure timely delivery. ERP Data Administration: Maintain accurate vendor information, part numbers, and pricing data in the ERP system. Assist with running standard reports from ERP for purchasing and inventory status.
  • Documentation Compliance: Ensure all purchasing documentation complies with internal processes and policies.
  • Support audits by maintaining accurate records of purchase orders, invoices, and correspondence.
  • Support Tactical Activities: Assist purchasing and supply chain teams with day-to-day administrative tasks, including filing, scanning, and correspondence.
  • Prepare and distribute reports on open POs, supplier delivery performance, and other key metrics.

Qualifications Education Experience:
  • High school diploma or equivalent required; associate degree or coursework in Business, Supply Chain, or related field preferred. 1 3 years of experience in purchasing, procurement, or supply chain administration, preferably in HVAC, manufacturing, or related industry.
  • Experience with ERP systems e.g., Oracle, SAP, Microsoft Dynamics, or similar required.
  • Skills Competencies: Strong organizational and time-management skills. Detail-oriented with high accuracy in data entry and documentation.
  • Effective communication skills for interacting with suppliers and internal teams. Proficient in Microsoft Office Suite Excel, Word, Outlook . Preferred Attributes Familiarity with HVAC systems, components, and terminology. Ability to work in a fast-paced, deadline-driven environment.
