Kelly's customer, a non-profit organization, located downtown Toronto, ON, are seeking an organized, proactive, and customer-focused Reception Administrator to manage day-to-day office operations and provide exceptional support to our donors. This role is pivotal in ensuring a welcoming environment, maintaining smooth office functions, and fostering positive relationships with donors and visitors alike.
RESPONSIBILITIES:
- Reception & Visitor Support:
- Respond to telephone, email, and in-person inquiries, ensuring a warm, professional, and welcoming experience for all guests at their national office.
- Address visitor requests or direct them to the appropriate team member.
- Donor Support:
- Handle donation calls from new, existing, and prospective donors, updating donor records and ensuring acknowledgments (in memory/in honour cards) are promptly sent.
- Process requests for duplicate tax receipts, perform donor database searches, and ensure timely issuance of receipts.
- Proactively follow up with donors whose credit card information is expiring to ensure continuous support.
- Mail & Office Logistics:
- Manage incoming and outgoing mail, including coordinating courier services and handling requests for stationery and office supplies.
- Liaise with Canada Post, couriers, and office supply vendors to ensure timely and efficient service.
- Maintain inventory of office and kitchen supplies, placing orders as needed.
- Office Equipment Maintenance:
- Ensure office equipment (printers, copiers, fax machines, postage meters, etc.) remains in good working order by coordinating maintenance and service updates.
- Oversee shredding services and any required couriering of materials.
- General Administrative Support:
- Assist with other tasks or special projects as assigned by the Manager to support smooth office operations and donor relations.
- Excellent interpersonal and communication skills, with a friendly and professional demeanor.
- Strong attention to detail and organizational skills.
- Ability to handle multiple tasks in a fast-paced environment while maintaining accuracy.
- Experience with databases and proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Previous experience in administrative support, customer service, or donor relations is an asset.

- 2 week temporary position with potential to go longer
- $20.00 - 23.00 per hour depending on experience
- Plus 4% vacation paid weekly
