Kelly Services is hiring on behalf of our client, a renowned organization in the pharmaceutical industry located in Thornhill, ON, for the role of a proactive, resourceful, and detail-oriented Senior Administrative Assistant to support their Therapeutic Dermatology Business Unit. This 1-year, long-term temporary contract offers an exciting opportunity to contribute within a dynamic and collaborative environment.

Key Responsibilities:

  • HCP Coordination: Initiate and manage processes for HCP (Healthcare Professionals) engagements, including event/activity setup, contracting, and payment for completed work.
  • Contract Management: Review and manage contracts and renewals, liaising with legal, compliance, commercial, and customers on contract terms and process flow.
  • Stakeholder Communication: Communicate directly with HCPs to obtain information or provide updates as required.
  • Reception Duties: Perform main-office receptionist duties, including attending to guests, managing phone calls, and handling mail/couriers.
  • Administrative Support: Assist with calendar and meeting coordination for the Therapeutic Dermatology Business Unit.
  • Travel Coordination: Book travel arrangements for senior team members and ensure expense reconciliation aligns with standard procedures.

Experience and Skills Required:

  • Minimum of 3 years' experience in office administration and/or an executive assistant role.
  • High School Diploma (required), Post-secondary education, such as a Bachelor's Degree, is an asset.
  • Strong multitasking, attention to detail, and organizational skills.
  • Excellent verbal and written communication skills suitable for interaction with internal stakeholders and external HCP clients.
  • Self-starter with the ability to adapt and work effectively in fast-paced environments.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word) is required.
  • Experience with Veeva, Salesforce, Oracle, MS Teams, or Coupa/OneBuy is an asset.
  • Professional demeanor and ability to build strong relationships using a responsive, service-oriented approach.
  • Demonstrates initiative, sound judgment, and the ability to manage competing priorities effectively.
  • A criminal background check is required.
