The Executive Administrative Associate is responsible for providing comprehensive administrative support to the Vice President and Senior Director GSM Biosurgery and within the General Surgery Would Closure & Healing and Biosurgery Organization.
Primary Responsibilities:
• Performing project coordination duties and administrative support
• Complex and highly fluid calendar coordination, including scheduling and arranging meetings with internal and external partners
• Preparing documents of a highly confidential and sensitive nature such as presentations, memos and correspondence, expense reports
• Closely partnering with internal teams to create and distribute pre-reads and training materials
• Complex domestic and international travel arrangements
• Manage and track key team project deliverables
• Coordinate activities related to interview scheduling, hiring, and onboarding of staff
• Lead or support key departmental projects such as a facility move, records management, and community service activities; Facilitate meeting planning, including visits from colleagues, team celebrations and offsite meetings
• Management of team office supplies and equipment
• Demonstrate flexibility and the ability to independently handle and respond to multiple priorities and shifting demands while maintaining the sense of urgency and intensity that the office requires • Under minimal guidance, prioritize across multiple critical activities, maintain confidentiality, and operate with perseverance and integrity in a very dynamic environment
• Coordinating and administering any statements of work and purchase orders; Developing periodic reporting and communicating purchase order status reports
• Fostering positive relationships while interacting with staff and various levels of management from within and outside of Johnson & Johnson
• Building strong relationships at all levels of the organization to ensure efficient and effective partnership encouraging an atmosphere of engagement.
• Proactive approach and achieving results in the absence of day-to-day guidance or reminders
• Other responsibilities may be assigned to support regulatory team and associated activities
• Anticipate administrative needs of the direct line leaders and get ahead of those deliverables.
• May require availability beyond core US EST travel hours when executives are travelling internationally Qualifications - Internal
• A minimum of a high school diploma is required, an Associate's or bachelor's degree is preferred
• A minimum of five (5) years of experience supporting management is required
• Strong organizational skills and attention to detail is required
• Ability to prioritize, maintain confidentiality, and operate with poise and professionalism in a complex, high profile, and rapidly changing environment is required
• Proficiency at utilizing and innovating on current technology platforms, including Office 365 (One Drive, Teams, SharePoint Excel, Outlook, PowerPoint, Word) web page navigation, Concur Expense, Concur Travel, Yammer, Skype, Jabber, Global Connect
