Role Purpose Support overall organizational efficiency by providing high-level administrative, coordination, and operational support. Ensure smooth information flow, enable leaders to focus on strategic priorities, and maintain structured, productive, and responsive department operations. Administrative Support & Office Management • Serve as the primary point of contact for the VP, including managing action items and follow-ups.
• Coordinate internal and external communications and initiatives on behalf of the VP.
• Oversee office operations, supplies, hard services, and department purchasing. Scheduling & Coordination • Manage complex calendars, meetings, agendas, materials, and presentation decks.
• Act as a thoughtful and effective gatekeeper for scheduling and access. Project & Program Support • Support VP and Leadership Team initiatives and special projects based on priorities and bandwidth.
• Assist with offsites, visitor management, compliance tracking, committee coordination, and contract/payment processes.
• Support internal groups such as Credo Committee, Culture Team, WiSTEM, and ERGs. Document & Records Management • Draft, edit, and distribute correspondence, reports, and memos.
• Maintain organized electronic and physical filing systems.
• Record and distribute meeting minutes; manage distribution lists; support new-hire onboarding. Travel & Expense Support • Coordinate travel arrangements, lodging, and transportation for VP+.
• Manage event logistics and meeting room scheduling.
• Process and reconcile expense reports.
• Support guest and hospitality needs. Event Planning • Plan and execute events including logistics, space setup, A/V coordination, agendas, and catering.
• Serve as vacation backup for other administrative team members. Operational Efficiency • Assist with budget tracking as needed.
• Improve administrative and departmental workflows, including distribution list management. Confidentiality & Discretion • Handle sensitive information with professionalism, sound judgment, and confidentiality. Cross-Functional Coordination • Liaise with internal teams, external partners, and vendors to support department needs and ensure smooth operations.

Experience:
  • Experience with AI Technology
  • Experience within Concur Travel & Expense, MS Suite, Excel, PowerPoint
  • Calendar Management and Event Management
  • Great oral and written communication skills
