Kelly is partnering with Johnson & Johnson to find a highly organized, service-oriented Site Administrative Coordinator to support the Site Head and ensure smooth day-to-day operations at our dynamic innovation-focused workplace in New York, NY. What You'll Do
- Executive & Administrative Support: Manage the Site Head's calendar, schedule virtual and in-person meetings, coordinate travel, and handle expense reporting.
- Front Desk & Visitor Experience: Open and close the reception area, greet and escort visitors, manage visitor registration systems, and triage incoming calls.
- Office & Site Operations: Oversee inventory, place supply orders, restock kitchens and common areas, maintain storage spaces, and ensure conference rooms are prepared and presentable.
- Onboarding & Offboarding: Support onboarding and offboarding for residents and employees, prepare workspaces, manage documentation, create system profiles, and assemble welcome materials.
- Systems & Data Management: Maintain contact lists, update internal platforms, manage badges and alerts, submit background checks, and ensure records are accurate and up to date.
- Mail, Deliveries & Facilities Support: Track and distribute mail and packages, handle temperature-sensitive deliveries, troubleshoot AV equipment, and support meeting room needs.
- Reporting & Help Desk Coordination: Generate monthly operational reports and ensure help desk requests are acknowledged and addressed within service standards.
- High School diploma or equivalent
- 5+ years' experience
- Strong proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint, Teams)
- Experience with global calendaring in a complex, matrixed environment
- Excellent communication, organization, problem-solving, and prioritization skills
