POSITION SUMMARY:

To coordinate the Yacht Management department's day-to-day operations including but not limited to customer relationship management, contracts, administrative duties, preparation of reports and marketing material, fleet mailings, updating fleet information in different databases, data entry and data tracking, etc.

Be the direct contact for the yachts joining the Yacht Management fleet and work as a member of the Yacht Management Team, using Company procedures and Yacht Management practices.

KEY DUTIES & RESPONSIBILITIES (not limited to):

  • Assist the Senior Manager of Yacht Services in an effective and prompt manner.
  • Prepare customized yacht management proposals, coordinate the various inputs and liaise with the marketing team, report to management on progress and delivery.
  • Document relevant information Inside the company's CRM.
  • Take the lead in building the stakeholder fleet in yacht management, including liaising with brokers and clients.
  • Build, maintain and strengthen Fraser relations with clients, providing guidance and advice and ensuring all customer needs are being met.
  • Coordinate the yacht management agreement from potential clients to activation of services, liaise with assigned persons on KYC and keep management informed on progress.
  • Populate and coordinate input for the fleet database, process and extract data when required.
  • Assist the manager in Marine Insurance management, keeping record of the policies, expiry date, renewals and organizing claim's file.
  • Data tracking and preparation of periodical reports and presentations.

OTHER RESPONSIBILITIES:

  • Updating YM Calendars and keep trace of YM personnel movements.
  • Document mailings in both hard and electronic format, letter drafting, review of documents and Yacht Management material such as fleet mailings, team instructions, progress reporting, annual meeting presentations.
  • Assist in the planning/coordination of events such as but not limited to; yacht shows, industry events, team visits to yards or industry seminars.
  • Network with colleagues, other industry players and service providers including, sales and charter brokers, charter managers, captains and crew.

JOB ESSENTIAL FUNCTIONS (essential skills, experience, and qualifications)

Essential Skills:

  • Detail oriented, clear communicator and excellent report writer
  • Fluency in English is a requirement. The ability to speak a second language is a plus.
  • Computer literate; proficient with MS Word, Excel, Outlook, PowerPoint and Acrobat
  • Willingness to travel occasionally when needed
  • Ability to prioritize and multi-task under pressure
  • Time management, dynamic and pro-active team work
  • Willingness to continuously improve
  • Discrete and punctual
  • Skilled in design software is a plus

Experience:

  • Working experience in the cruise or yachting industry preferred. Ideally focused on the 90 to 140 feet range
  • Basic knowledge on Maritime Insurance

Qualifications:

  • Bachelor's degree in Maritime or equivalent. Work experience maybe substituted for relevant educational experience.

WORK ENVIRONMENT AND PHYSICAL ABILITIES:

Work Environment:

  • Work is conducted most often indoors in an air conditioned, illuminated office environment and periodically outdoors inspecting boats, meeting with yacht captains, and crew aboard vessels, at ports, and on floating barges.
  • Local, national and international travel is occasionally required ranging from day to week-long trips. Ability and willingness to travel internationally to attend boat shows, visit yacht owners, captains and yachts and attend other yacht industry or company events as necessary.
  • Utilization of standard office equipment is used in the working environment.
  • Motor skills and senses needed to carry out duties include talking, listening, typing, writing, visual inspection of documents and spaces.

Physical Abilities:

  • Light lifting, pushing, walking, climbing ladders and stairs on boats and climbing into small spaces.
