General Summary of Position
Office Manager will provide administrative operations management for three or more MedStar Health-Physical Therapy locations or determined by senior leadership based on regional staffing and budgeted volumes. Responsible for patient access, customer service, hiring, training, staffing coverage and revenue cycle management at those locations through partnership with Administrative and Clinical Leadership. Office Manager will provide consistent, effective and efficient feedback, coaching and as needed corrective action. They will hold regular meetings with Clinic Directors and all Office Staff to ensure excellent and open lines of communication, and effective administrative operations support to sites. They will be expected to establish relationships within their assigned region, as well as throughout the network and other entities to include Patient Financial Services (PFS), and External Vendors relative to administrative systems or operations.


Primary Duties and Responsibilities

  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
  • Directs, guides and mentors Office staff to carry out daily responsibilities inclusive of all administrative tasks within the clinic and/or network.
  • Promotes in collaboration with both clinical and administrative leadership an environment of mutual respect, integrated operations, open communication and a dedication to collaborative daily work activities between the administrative operations and clinical team members within practice settings.
  • Promotes consistent and effective front end revenue cycle practices and workflow at sites. Ensures accurate intake, benefit verification, pre-registration, registration and scheduling of patients at assigned locations.
  • Monitors and ensures accurate collection of copayments, charge entry reconciliation, receipt logs, medical record activities and case management tasks.
  • Meets or exceed targets on the revenue cycle/administrative operations dashboard at sites, working with the Senior Leader and others to timely implement corrective actions as indicated.
  • Collaborates with Senior Leader to provide consistent feedback to sites performance through hosting regular meetings in addition to providing consistent monthly trainings to ensure all administrative staff is provided the support they need which will improve overall customer service.
  • Promotes an environment fostering team member satisfaction, development and retention. Encourages team member development, opportunities for role expansion and through this enhanced network performance.
  • Develops and implements evolving training guidelines for all administrative team members, to promote consistent best practices of operations across sites. Provides insights into suggested operational changes as we strive to continually improve our performance.
  • Participates in the administrative operations mentorship program to foster team member enrichment and growth.
  • Promotes the use of CSI data, working in collaboration with the Senior Leaders, Access NRH Ambassadors and clinical leadership, to promote excellence in CSI data performance.
  • Develops and coordinates, in collaboration with the Senior Leaders, workflows for new processes to ensure best practices and consistency throughout the network.
  • Develops and promotes administrative team connections with referring physician practices in order to establish positive relationships to maintain and increase referrals and site productivity.
  • Maintains professional and technical knowledge by attending required leadership courses provided for team members in order to establishing and maintain all standards and procedures as well as makes necessary adjustments to structure when needed.
  • Collaborates with Senior Leaders, and Patient Financial Services (PFS) on a consistent basis while analyzing and reviewing revenue derived reports to ensure and maintain financial stability and a healthy AR. Through this Office Managers will be able to track and adjust sites and administrative needs either through coaching and counseling, or trainings.
  • Participates in multidisciplinary quality and service improvement teams as appropriate. Participates in meetings, serves on committees and represents the department and hospital/facility in community outreach efforts as appropriate.
  • Reliable transportation to travel to multiple sites and provide on-site support as needed

    Minimum Qualifications
    Education

    • Associate's degree required or
    • Bachelor's degree preferred
    • One year of relevant education may be substituted for one year of required work experience.

    Experience

    • 3-4 years Relevant business/administrative operations office experience inclusive of revenue cycle performance. required and
    • 1-2 years Supervisory experience required
    • One year of relevant professional-level work experience may be substituted for one year of required education.

    Licenses and Certifications

    • DL - Valid State Driver's License in good standing Driver's License. required

    Knowledge, Skills, and Abilities

    • Strong time-management skills with the ability to work quickly and efficiently on several projects at one time, and work enthusiastically in a constantly changing environment.
    • Excellent verbal and communication skills, both in-person, via telephone and electronically. Solid computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint; conference scheduling and/or content management software are a plus.
    • Advanced Microsoft Office/Excel data base skills; working understanding of revenue cycle and accounts receivable in an ambulatory environment; leadership and ability to teach/develop others; organizational skills; intuitive; self starter; flexible.


    This position has a hiring range of $58,656 - $98,384
