Located within five hours (300 miles) of 25 percent of the U.S. population, Watkins Glen International is the premier road racing facility in North America, three-times voted “Best NASCAR Track” by readers of USA Today. The Glen hosts a diverse portfolio of premier sports car, open wheel and stock car races throughout the year.

The Event Experience Coordinator is responsible for supporting and assisting with the creation and execution of engaging fan experience initiatives at Watkins Glen International (WGI). This position will be responsible for assisting with programming across WGI, including areas such as the Fan Zone, Midway, and campgrounds. This person must be able to think strategically and creatively, balance multiple responsibilities and easily collaborate with internal and external stakeholders.

Essential Duties & Responsibilities

  • Work in conjunction with the Department Leads to brainstorm, plan and execute a comprehensive at-track fan experience strategy for camping and fan areas, including booking entertainment, interactive displays, youth and family activities, photo elements, and display areas.  
  • Book entertainment, handle contracts and certificates of insurance, as needed, coordinate schedules and any other needs for all vendors related to fan experience, including fireworks, concerts, pre-race dignitaries, and youth family activations.
  • Plan and coordinate the Summer Concert Series along with the corporate sales team.
  • Collaborate with department leads on brainstorming, planning, and executing engaging content, entertainment, etc., for the WGI Fan Zone and campgrounds.
  • Develop and execute kids programming across the region that cultivates and retains new young fans, including onsite activations inside the NASCAR Kids Zone and with the Kids VIP during race weekends.
  • Assist with facility rentals, including Drive the Glen, track tours, building rentals, and school panels.
  • Assist with in-market activations.
  • Collaborate with the regional marketing, ticketing, and group sales teams to execute specific ticket package experiences on event weekends. (Example: Auto Show during SVRA Weekend)
  • Assist the marketing team with acting as point person for track photographers and seasonal event staff.
  • Support the department leads with special projects.
  • Other duties as assigned.
  • 10% travel including weekends (team summits and potentially assisting with other tracks event weekends).

Qualifications

  • Associate's degree and/or training in related business fields, i.e., Marketing, Sports Management, Communications; or equivalent combination of education and related experience.
  • Experience in event planning or event coordination in a corporate environment is a plus.
  • Proven record of coordination for creative, successful events.
  • Experience collaborating with colleagues in graphic design, sales, marketing, and/or communications.
  • Excellent organizational, communication, negotiating, and multitasking skills.
  • Ability to remain calm under pressure and maintain a customer-service mindset.
  • Ability to establish relationships with vendors.
  • Experience in following budgets and tracking expenses.
  • Team player capable of managing multiple priorities in a dynamic, fast-paced environment.
  • Self-starter who takes initiative and can take a project from start to finish.
  • Strong ability to think strategically, creatively, and quickly.
  • Must be able to work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) workdays and extended numbers of days. 

Physical Demands

While performing the duties of this job, the employee is regularly required to stand and walk; use hands to finger, handle or feel; sit; reach with hands and arms; and talk or hear. The employee is occasionally required to stand.  Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.  The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
