Position Overview:We are seeking an organized and proactive Executive Administrative Support professional to assist the Executive Vice President (EVP) of Marketing and Chief Marketing Officer (CMO) in managing their daily operations. This role requires exceptional time management, communication skills, and the ability to coordinate complex schedules, support key Marketing projects, and maintain high levels of professionalism. The ideal candidate will be a detail-oriented, strategic thinker with experience in executive-level administrative support and the ability to thrive in a fast-paced, dynamic environment.
Key Responsibilities:
Administrative Support:
- Efficiently manage the EVP CMO's complex calendar, including scheduling meetings, coordinating travel, and handling logistics for marketing events.
- Prepare, organize, and format documents, presentations, and reports for Marketing meetings, initiatives, and business reviews.
- Handle expense reports, travel arrangements, and other routine administrative tasks to maintain operational efficiency.
- Coordinate and schedule internal and external meetings, conferences, and other marketing-related activities, ensuring optimal use of time and resources.
- Monitor and track communication, ensuring timely follow-ups and that deliverables are met.
- Proactively address and resolve day-to-day administrative challenges, maintaining smooth operations across the department.
Strategic Support:
- Represent Norfolk Southern and the Marketing division by interacting professionally with customers, executives, and stakeholders.
- Assist in the execution of Marketing initiatives, supporting project management, and tracking deliverables to ensure successful completion.
- Collaborate with the EVP CMO in organizing and coordinating Marketing customer events and key initiatives.
- Support in tracking project timelines and milestones, ensuring all initiatives are progressing on schedule.
- Act as a liaison between the Marketing department and other divisions to ensure effective communication on strategic projects and initiatives.
Time and Task Management:
- Help manage the EVP CMO's schedule to ensure both leaders are well-prepared for meetings and commitments.
- Ensure alignment of Marketing priorities with the division's strategic objectives, addressing critical tasks and milestones in a timely manner.
- Anticipate the administrative needs of the EVP CMO, taking initiative to solve problems and ensure smooth daily operations.
Additional Responsibilities:
- Provide administrative support to other Marketing leaders as needed, ensuring the smooth operation of the entire division.
- Collaborate with other Executive Assistants to maintain seamless executive operations across the organization.
- Assist in preparing internal and external marketing documents, including reports, policies, and communications for stakeholders.
Qualifications:
- Proven experience providing administrative support at the executive level, preferably within a Marketing department or similar setting.
- Excellent organizational and time management skills with the ability to multitask and prioritize competing demands.
- Strong communication skills, with the ability to interact professionally with executives, stakeholders, and customers.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other business management tools.
- Ability to maintain confidentiality, demonstrate discretion, and handle sensitive information appropriately.
- Detail-oriented with a proactive approach to problem-solving and task management.
- Ability to work effectively in a fast-paced and dynamic environment, adapting to changing priorities and deadlines.
Preferred Qualifications:
- Experience in Marketing or related industry.
- Familiarity with project management software and tools.
- Previous experience supporting senior executives or C-suite leadership.
