Primary PurposeThe Project Management Office (PMO) Admin is a key resource who will assist the PMO Manager and the Project Portfolio Management (PPM) Administrator with tasks required to effectively manage the PMO and the PPM system. This includes implementing processes, supporting Project Managers and other stakeholders, executing PPM Admin tasks as well as serving as a back up to the PPM Administrator and other tasks as assigned including management of Production System Support (PSS) and administrative projects. The PMO Admin will be a key member of the IT Project Management Office and an integral team player who helps to successfully move the PMO forward.
The PMO Administrator within Shared Services will support the IT PMO system landscape. This includes understanding system architecture and data across various systems used by the PMO, including but not limited to ServiceNow Strategic Portfolio Management (SPM) and Atlassian tool set.
Principal Duties
PMO Governance and Support:
• Assists with optimization of the system landscape providing the most efficient and effective user experience for IT Leadership, Management, and the overall user base.
• Provides support to troubleshoot, determine root cause and resolve complex PPM application problems engaging vendor and escalating as necessary for issue resolution.
• Works with vendor to configure and implement system modifications when needed, including but not limited to ServiceNow Strategic Portfolio Management (SPM) and Atlassian tool set.
• Support and ensures consistency of configuration and data across environments (Testing/Training & Production)
• Provides process and system support to PMO Managers and Project Managers.
• Supports monitoring the accuracy and integrity of the overall project portfolio.
• Supports Project Portfolio reporting including monthly/quarterly portfolio reports.
• Maintain PMO Knowledge Center in ServiceNow.
• Supports the development of training materials and provide training to users.
• Assist with onboarding of new Project Managers.
• Supports and assist with creation and implementation of new and/or improved PMO processes.
• Support and assist with development of PMO Standard Operating Procedures (SOP) and ensure SOP are maintained and up to date.
• Strengthen awareness and adherence to PPM processes through periodic communications to reinforce appropriate usage of these processes.
• Monitors project data within PPM system to ensure key elements are up-to-date and work with PMO Managers and Project Managers to take corrective action when items need to be updated.
o Execute the following functions as it relates to PPM system.
o User Administration functions.
o Manage demand process and on-going creation of projects, resources and other system entities.
o Monitors, maintains, and reports on Resource Management.
o Monitor processing of weekly timesheets, identifying discrepancies and troubleshooting issues towards resolution.
o Assist PMs and other users with basic functions of the system.
Shared Services Administrative Support:
• Manage calendars and schedule meetings.
• Prepare and proofread documents, reports, presentations, and correspondence.
• Manage communications and prioritize messages.
• Maintain accurate and organized records, expense reports, invoices, files, and documentation.
Meeting Coordination:
• Arrange and organize department meetings, including coordination, agenda preparation, and follow-up.
• Assist in the preparation of materials and presentations for meetings, executive level meetings, and presentations.
Data Management:
• Maintain databases and ensure data accuracy and integrity.
• Generate reports and metrics as requested.
• Assist in data analysis and research as needed.
Project Support:
• Assist in various projects.
• Collaborate with team members to accomplish departmental goals.
Confidentiality:
• Maintain the highest level of confidentiality regarding sensitive documents and information throughout the organization.
• Apply exceptional people skills, maintaining trust and ability to support executive leadership, shared services stakeholders.
Job Related Experience:
• Minimum Level: 1 year
• Preferred Level: 3-5 years
Education
• Bachelor's degree (any) is required.
Skills Required
• 1 year experience in project management and understanding of project management concepts.
• MS Office 365 Suite (Word, Excel, PowerPoint, Outlook)
Skills Preferred
• Experience working in a PMO (Project Management Office)
• Experience with project portfolio management knowledge such as: project intake, demand management, resource planning, and project budget management.
• Experience with PPM tools.
• Experience in shared services administration or support function within IT.
