Job Summary

Manages PMC Visitor Services staff, including evaluations, scheduling, and customer service training. Develops and maintains communication with patients, visitor, families, physicians and their office staff to monitor customer satisfaction. Manages all aspects of Patewood Medical Campus volunteer program including recruiting, interviewing, orienting, etc. Assists administration in resolving customer problems and/or addressing their suggestions. Provides customer service training to hospital employees. Implements and directs special projects as assigned by Administration. Accountabilities

• Plans, organizes, directs, coordinates and monitor the total volunteer program planning and development. Assesses need for volunteer service and develops new and/or improved volunteer positions. Interviews, selects, assigns, trains, and motivates volunteers for entire Baptist Easley Hospital. Manages Volunteer Services budget. Visits community groups and schools to publicize and recruit for the volunteer program. 20%
• Manages and directs the Visitor Services Representatives (VSRs) department, including appropriate scheduling for coverage of all three (3) Concierge desks at Baptist Easley Hospital. Maintains employee personnel records and ensures evaluation deadlines are met. Schedules and trains VSRs in all aspects of Customer Service training. Manages department budget. Develops and maintains department goals and objectives and establishes and implements policies and procedures for Visitor Services department operation. Develops and recommends departments budgets and ensures that departments operate within budget. Directs the preparation and maintenance of department reports. 25%
• Develops and implements Campus wide Commitment to Excellence training for approximately 300 employees annually. Develops and implements monthly New Employee Orientation programs specific to Baptist Easley Hospital. 10%
• Manages BEH Employee Team that is responsible for all Employee events. Coordinates BEH campus-wide Hospital Week events with department representatives, serving approximately 600 employees. Coordinates all Prisma Health sanctioned community Fundraisers, i.e., United Way, March of Dimes, etc. 15%
• Prepares periodic reports for top management, as required. Plans, conducts, and directs various short and long term projects. Prepares project plans including scope, scheduling, costs, personnel and operational concerns. Determines priorities and monitors status of projects on ongoing basis. Evaluates work processes/procedures; identifies and solves problems; develops, recommends, and implements process changes to improve productivity and reduce costs. 10%
• Accountable for the gift shop cash protocols in compliance with system and audit standards. Responsible for scheduling employees and volunteers who work in the gift shop; and daily gift shop revenue reports. Places orders for all Gift Shop merchandise. 20%

Supervisory/Management Responsibilities

Job has direct and/or indirect supervision of employees that may include final budget authority, hire/termination/disciplinary authority, performance appraisal responsibility. Job will be considered a member of the management staff with direct reports. Minimum Education

Bachelor's Degree - Business or related field

Minimum Experience

3 years - Experience in coordinating volunteer programs and activities or customer service, preferably in a healthcare setting.
