SUMMARY:

 Whitetail Club is seeking a Membership or Operations professional with experience in the Private Club Industry or Hospitality Industry that will drive memberships sales, member/guest relations and marketing of member events and amenities throughout the club. The Club Director is responsible and accountable for the overall club operation including membership recruitment/sales, event promotion/management/execution, member services, golf operations, operations at all other Club amenities, staff performance, and the financial performance of the Club. This position is responsible for providing a personalized service for the members and their guests and ensures that each member and guest experience with the club is positive and memorable. 

The Club Director is not directly responsible for Club food and beverage operations, guest services functions, housekeeping functions, engineering, or golf course maintenance. However, the Club Director is accountable for the results of all these functional areas where they impact the Club.

WHAT YOU GET TO DO:

  • Promote the Club to facilitate membership sales and spread enthusiasm and good will among employees, members and guests.
  • Conduct tours for prospective members and hold prospective member functions.
  • Participate in converting member prospects into new members.
  • Personally meet each club member and instill confidence that the club is operated in the best interests of the membership.
  • Establish short and long-term goals, tactfully enforce club policies and maintain operating procedures.
  • Propose innovative ideas to improve operations. Work closely with Head Professional and Golf Course Superintendent to strive for excellence in the golf operation.
  • Oversee Marina operations, a selling point with members and prospects.
  • Assist with hiring and training quality staff in club operations. Manage all club employees for consistent appearance, service and overall performance. 
  • Continually train and inform staff to be knowledgeable and informed on club events and activities. 
  • Prepare monthly financial reviews and budgets of the club operation and prepare annual review of rates, rules and regulations for the club.
  • Hold responsibility for achieving goals in financial and service areas of operation.
  • Prepare guidelines and execute programs in the areas of: 

     a. Club Operations and Activities

     b. Food and Beverage

  • Coordinate development of all club communications efforts including the Club Directory, monthly newsletters, weekly e-blasts, etc. to members and perspective members.  
  • Coordinate development of the social activities and social calendar, promote club activities utilizing creative means driving member engagement and participation, while tracking the success and overall performance.
  • Coordinate updates to the Club's website as it pertains to member events and activities.
  • Interact with local Chamber of Commerce and other community organizations to market the club.
  • Help create and maintain Club traditions to establish a strong community. 
  • Call and request active members to make personal referrals and to assist with recruitment efforts and follow-up on member referrals, leads from staff etc...
  • Effectively respond to member comments in accordance with Club standards, policies and rules; use ideas, feedback and suggestions to continuously improve services.
  • Report new members to the controller to initiate proper administration of their memberships; ensure that applications are completely and properly filled out, that initiation fees are collected and that new members understand the privileges and costs of becoming a member.
  • Process member resignations; develop reports and undertake special projects as applicable if membership retention problems arise. 
  • Responsible for maintaining confidentiality of all member information.
  • Maintain the membership register and database of member files.
  • Maintain presence during club operating hours and events, meeting and greeting members and guests.
  • Member of the Whitetail POA board of directors and attend quarterly and annual meetings.
  • Member of the Senior Staff team and participate in weekly meetings.


Requirements

 WHAT YOU NEED TO BE SUCCESSFUL: 

  • Bachelor's Degree in Hospitality, Business, Marketing or other related field.
  • 10 years' experience in private club operations or related hospitality field.
  • 10 years management/supervisory experience.
  • 5 years sales experience.
  • Ability to effectively create and manage budgets.
  • Ability to plan, promote and manage successful events.
  • Accurately track member files, processing and reporting.  
  • Proficiency in Microsoft Word, Excel, Power Point… and similar software.  
  • Real estate sales and marketing experience preferred.
  • Experience in drafting and reviewing contracts and other business agreements preferred.
