The Joint, Office of the Secretary of Defense, Interagency Division provides expert support services to a range of customers spanning across the Department of Defense, Federal Civilian, and international markets. Our team of experienced military, technical, and operations research analysts is skilled in evaluating military problems, identifying the driving factors, devising innovative approaches, collecting applicable data, developing necessary software tools, and performing thorough and timely assessments to inform technology and acquisition governance decisions to ensure U.S. military forces retain military superiority in the future. We have an immediate need for an Executive Scheduler to provide hybrid support out of Arlington, VA. Responsibilities The SETA Commercial and Transition Office Executive Scheduler will work as part of an exciting team to provide daily management of the senior leaders' complex calendars and office activities which include coordinating meetings, correspondence (while acting as a primary point-of-contact), and ensuring smooth operations. Key responsibilities include prioritizing requests, managing internal and external communications, coordinating agendas and logistics for events, and handling sensitive information with discretion. Will apply strong organizational, communication, and problem-solving skills, along with expertise in scheduling software. Apply deep domain expertise and a commitment to advancing U.S. national and economic security. The Executive Scheduler works to coordinate and efficiently manage scheduling for the leadership team and office engagements including schedules, priorities, and relationships. Serve as the primary POC for internal and external constituencies seeking to engage the leadership team and office. Maintain the Chief's calendar including scheduling meetings, speaking events, and logistics planning. Evaluate requests to prioritize needs, effectively allocate time, and delegate engagements as appropriate. Coordinate Commercial Strategy work priorities with the Chief of Staff, Action Officer(s), and other DARPA staff. Assist the Front Office with planning, development of agendas, meeting materials, briefings, presentations, and special projects. Exercise discretion in managing the Chief's contacts and relationships. Perform event planning and drafting of correspondence, and provide administrative support to the Commercial Strategy Office. Maintain confidentiality in handling sensitive personal and organizational information. Qualifications Required: Bachelor's degree U.S. citizen and eligible for a DoD Secret clearance 5+ years of experience providing executive scheduling and support and calendar management to C-suite, University Leadership, Governor's Office, Military Branch, Congressional Member, and/or Trade Association Detail-oriented with exceptional planning and communication skills Experience managing special projects, executive meetings, and external groups for an executive and/or team Prior experience organizing and managing operations consisting of in-person and remote staff Exhibits superior confidentiality, judgement, and discretion in performing duties Previous experience preparing pitch decks, background materials, and proposals High proficiency with MS Office, project management, and productivity tools Mental flexibility to handle changing plans and priorities with a good attitude Desired: Active DoD Secret clearance Bachelor's degree in business, engineering, or economics 3+ years of experience as a scheduler directly supporting a CEO, founder, or government executive and/or team at DARPA, I-ARPA, ARPA-H, or ARPA-E, and/or a Governor's Office, Member of Congress, or University President's office Knowledge of DoD or other U.S. Government operations and processes Familiarity with DARPA Ability to work in the Office >30% of the time
Qualifications
